STATEMENT OF AGREEMENT

between

EAASDC and ECTA

 

1. This agreement covers the purchase, operation, and maintenance of a HILTON PA SET procured primarily to provide uniformly satisfactory sound for the four major Jamborees (Round-Ups) each year.

 

2. EAASDC financed 80% and ECTA 20% of the initial cost.

 

3. The set will be provided at no cost to the host club for the three quarterly Jamborees and the one Round-Up as delineated in the EAASDC Constitution.

 

4. A normal fee of $5.00 per night or $10.00 for the weekend will be charged for the use of the equipment other than as stated in paragraph 3 above. This charge is set to defray operating costs and maintenance of the equipment with minimal reimbursement to the respective association treasuries. Rental fees will be paid by the user upon return to the ECTA custodian, who, in turn, will reimburse the EAASDC and ECTA treasuries on an 80% -20% apportionment respectively.

 

5. ECTA shall be responsible for storage, operator training, and preventive maintenance as required to insure continued operation. The cost of the same shall be borne by ECTA. Major component repair or replacement will be borne proportionately by the two associations (80-20% EAASDC and ECTA, respectively).

 

6. The president of ECTA will appoint a qualified custodian for the PA equipment who is centrally located to the European Square Dance Community. Normally the ECTA Director of Training or one of his committeemen will be designated. The custodian will be responsible for storage, operator training, approved issue and preventive maintenance as necessary to insure continued serviceability of the Hilton PA Set.

 

7. Any club desiring use of the equipment for a one-night or a weekend period will request same from ECTA equipment custodian. He will coordinate his approval with the President or Vice President of the ECTA and EAASDC. Use will be restricted to special dances sponsored by EAASDC member square and for round dance clubs where sizeable attendance is expected (i.e. normally 75 or more). Also, use will normally be limited to indoor dances.

 

8. ECTA will insure that the callers using the equipment are properly oriented or trained in its use prior to delivery of the equipment.

 

9. Normally the equipment will be picked up by the host club one to two weeks in advance of one of the four major functions outlined in paragraph 3 above, and no more than one week in advance of other activities. The equipment will also be returned by the host club to ECTA in the same condition as issued not later than 48 hours after final use.

 

10. In the event of dissolution of one association or the consolidation of the two associations, the equipment will accrue to that remaining organization.

 

11. In the event of dissolution of both organizations, the equipment will be offered to the highest bidder and the monies accruing therefrom will be disposed of on the same percentage as indicated in paragraph 2 above.
