EAASDC Membership Meeting 15 February 1970

 

The meeting was called to order at 13.20 hours by President Chuck Barton.

 

The president distributed copies of the minutes for each club representative present. The minutes were read from the Winter Jamboree held at Ramstein. At the completion of the reading of the minutes, Chuck Barton noted two changes to the minutes before approval:

1. The Hilton Speaker Stand has net yet been repaired as previously stated.

2. The typewriter purchased for the Publicity Director was a Smith Corona instead of a Remington as stated in the minutes and the cost was $163.

Minutes were them approved as read with the noted changes.

 

Treasurer's report was then read with a balance as of 13 February 1970 being $1480.30. The treasurer's report was approved as read.

 

OLD BUSINESS:

 

Chuck Barton stated he went to USAREUR Hqs reference approval of the EAASDC Constitution. He was given until 1 February 1970 to have our constitution in order. Chuck Barton asked for an extension due to the change to the Constitution 15 February 1970. The date was then extended until 1 March, which would also include the following statement taken from USAREUR Reg No. 23O-3 Nonappropriated Funds and Related Activities - Annex G Minimum requirements for Constitution and Bylaws:

2. CONSTITUTION

k. A statement that the Association is not an instrumentality of the United States, that it must be self sustaining, and may not receive financial assistance from the Army or Nonappropriated funds.

 

The president then brought up the change to the constitution reference the Associate member having one vote. This proposal had been voted on at the Winter Jamboree held 6 December 1969, but had to be voted on at the next General meeting duo to a change to the Constitution.

 

Motion was made that the Associate member be given 1 vote or 1/2 vote of the full vote of the regular full member. The motion was seconded and approved by the majority.

 

The Buttons and Bows have petitioned for re-entry into the association following deactivation of approximately 2 years. There first class graduating on 17 January 1970.

 

Doc Karls made a motion that the Buttons and Bows be reinstated into the association as a full member club. Chuck Barton said that everything seemed in order, with receipt of the clubs Constitution, officers and check. Motion was seconded and approved by the majority.

 

The president then asked for additional information regarding the Spring Jamboree in Berlin. A representative present stated everything was going as planned and a list of reservations should be coming out next week. He stated there would be camping near the dance hall and a planned hash room.

 

The first Student Jamboree sponsored by EAASDC and ECTA has been under discussion. This subject was first discussed at the Winter Jamboree with the proceeds going to ECTA for their proposed program. The first Student Jamboree will be held at Mannheim, with all clubs represented being responsible for their refreshments. The Mannheim Mixers will be responsible for the coffee and soft drinks. The callers (ECTA) will set up their program and greet the dancers upon their arrival. The date will be 25 April with a charge of $1.00 per person. Dancers are encourage to attend and support this activity.

 

NEW BUSINESS:

 

Chuck Barton asked if all the clubs were receiving their Chatter Box. The majority stated they were. He stated there was an article in the last issue requesting the clubs to send in the necessary information on where the clubs dance, date time, officers etc. This information was to be sent to the Publicity Director and then he would forward on to the Secretary for her formation of the next EAASDC Roster.

 

Jim Cholmondeley stated they prepare 300 copies of the Chatter Box which takes 5 hours to assemble and 3 hours to address. He wanted to make sure the dancers were getting to read the magazine. If additional copies are needed he will increase the number of copies, but only if they are reaching the dancers. He also stated that he had 50 copies with him today if clubs desired them.

 

Jim Cholmondeley also brought up the subject of the Friendship Badge. He showed two sample badges to the membership. There was an article in the Chatter Box explaining the badge and he would like to know if the dancers are interested in the badge. The idea is to promote friendship by traveling to different clubs and bringing square dancers closer together. These badges would be purchased by the Association at a cost of $1,00 with an order of 50 or more. The members would have to visit 16 different clubs, having an officer or caller sign the card and these badges would be presented at the EAASDC Membership Meetings.

 

There was quite a discussion reference the Friendship badge and a Motion was made to have the EAASDC Board set up the rules and regulations on the friendship badge. Motion was seconded and approved by the Majority.

 

The president of the Skirts and Spurs stated that their club is having a Farewell dance for Cal Golden on 23 May 1970, which will be held at the Officer's Club in Vogelweh.

 

Chuck Barton then called on Doc Karls to give a report on the Kuntry Store. He gave a brief talk on the line of merchandise he is now stocking and hoped everyone was satisfied. He also asked the presidents from the clubs to send in the names of the students early for the student discounts.

 

A motion was made to change the constitution regarding the percentage on Jamboree's and Round Ups reference article IV Activities Section 1. from the present percentage to 30% to the host club and 70% to the Association on Round Ups and 60% to the host club and 40% to the Association on Jamboree's.

 

Feel the percentage should be changed so the sponsoring club will receive a greater percentage due to the work involved and expenses for putting on the jamboree or round up. There was no discussion on this proposed change due to lack of knowledge regarding the statement. The motion did not receive a second so was dropped for the present.

 

Chuck Barton stated that clubs could bid for the 1971 Round Up at the Summer Jamboree with additional bids at the 1970 Round Up.

 

Chuck Barton then thanked the Heidelberg Hoedowners for putting on another excellent Castle Dance.
