Minutes of General Membership Meeting

2 December 1972

The general membership meeting of the European Association of American Square Dance Clubs, (EAASDC) was called to order by the Association President., Vern Hoover, on 2 December 1972 at 13.15 hours at the Benjamin Franklin Village Elementary School in Mannheim. There were 34 clubs- present at roll call. Minutes of the last meeting were approved. The treasurer's report was given and approved. A copy is attached to these minutes.

OLD BUSINESS

Mickey Grant of the Stuttgart Strutters reported that the Spring Jamboree will be held on 6, 7, and 8 April at the Sporthalle in Nellingen. An indoor swimming pool and sauna bath will be available.

Banner Stealing: Vern feels that banner stealing has become too commercialized - that its purpose is to promote friendship and encourage visiting between clubs; therefore taking a banner or some other token is not necessary.

Jim Hinkle of the Paws and Taw suggested that clubs make small wooden banners to give to the visiting clubs.

Earl Barton of the Stuttgart Stutters suggested that each have one wooden banner which would go to the visiting club having the most members present.

Doc Karls of the Kuntry Kuzins suggested that if a club does not have a banner to give to give to a visiting club, they should give a club badge instead.

Vern proposed that the EAASDC Rules for banner stealing be amended to read as follows: "No item of personal clothing will be either asked for or taken by EAASDC member clubs during visiting. Any banner taken will be returned at the next jamboree or round up.

NEW BUSINESS

Vern suggested that due to the large number of special dances now being held, one jamboree and the round up be abolished; or that special dances such as graduations and anniversaries no longer be put on the Association Calendar.

Jim Hinkle suggested that clubs start using the Chatterbox as advertisement for their graduations and anniversaries.

Marv Leibowitz of the Stuttgart Strutters told Vern that the posting of graduations and anniversaries on the Association calendar does not indicate Association approval of these dances. Its main purpose is to help member clubs keep from scheduling several special dances on the same night, as well as to follow the association to make sure that a board member will be present at each dance.

Doc Karls proposed that the Association's take from the jamborees be cut in half and that a token fee still be charged at the Round Up.

Albert Van der Loeff of the Holland Windmillers pointed out that some clubs like his, which are quit far away, can only make it to 2- or 3-day dances such as jamborees and round up. He asked that on behalf of the outlaying clubs all 3 jamborees and the round up be continued regardless of whether any fee is charged for them.

Peter Schensick of the Berlin Swinging Bears suggested that the Winter and Spring Jamboree be made more attractive than any other special dances in order to attract more people and make them extra-special dances.

Marv Leibowitz feels that the decision to give a free round up, if made, should not be made a constitutional change. At present the Association can afford to give a free round up; but in future this might not be true. Therefore, each new board should make the decision as to whether to give a free round up or not.

Mickey Grant stated that the Stuttgart Strutters are not going into the spring jamboree with the intention to make money. They simply want to put on a good dance. They have the Night Owl Dance, which they put on each year, and from which they make enough money to run the club for a year. Therefore, the Spring Jamboree is not to be a money-making dance.

Bob Shrewsbury of the International Squares feels that the jamborees are a good way to help bolster small clubs because they must work hard and can make money at the same time.

Peter Schensick feels that even more important than making money at a jamboree or other special dance is whether the attendance grows from year to year. If the attendance grows each year, the dance is successful.

Jim Hinkle suggested that if the Association is making more money than it needs from the jamborees that the money be used to buy booklets and pamphlets for member clubs to help out with student classes and to advertise Square Dancing in Europe.

Ray Phelps from the Heidelberg Hoedowners suggested that the Association sponsor three jamborees enabling small clubs in an area to get together and host a jamboree and split the profits. This would be a great help to the small clubs.

Dave Ostrander from the Bavarian Stompers suggested that the Association use its extra money to underwrite the expense of halls for jamborees.

Vern pointed out that dividing the extra money between the clubs would amount to give nothing to anybody.

Vern announced that there would be no changes to the jamborees and round up. Also, the Association calendar will be maintained as it is with no attached obligations to attend the dances listed on it.

Vern stated that then Association makes approximately $150.00 from each jamboree.

Bernie Saunders from the Schwarzwald Dancers suggested that each year when each clubs pays its annual dues it should receive an annually updated copy of the Square dance packet.

Vern pointed out that the packets are primarily filled with booklets that do not require regular updating; therefore the suggestion would prove to be a waste of money.

Bob Shrewsbury also pointed out that many of the booklets found in the Square dance packet are readily available in the record Shop.

Methods of spending money will be tabled until the Spring Jamboree.

Jamboree Bidding: Bob Waldera of the Bavarian Stompers felt that being able to bid for sponsorship of a jamboree 9 month or a year in advance would help clubs in planning their programs and in obtaining their halls.

Marv Leibowitz suggested that Article IV Section II Para 2 be changed to read " ..may bid not less than 3 jamborees in advance."

Peter Schensick suggested that clubs be able to bid as much as 3 to 4 years in advance.

Marv Leibowitz proposed that Article IV Section II Para 2 be changed to read as follows: "Member clubs will be invited to bid for sponsorship of jamborees. Bids will be accepted only at general membership meetings. Clubs may bid for any future jamboree at any meeting. Bids must be submitted not less than 2 jamborees in advance. Bidding clubs must give final confirmation 2 jamborees prior to jamboree bid on."

Summer Jamboree: Larry Wilburn of the Bavarian Stompers bid for the Summer Jamboree for hi club. He said that the jamboree would be held in the Augsburg Sporthalle. Forty rooms have been reserved in the American Hotel, and there will be free campground on post. There will be a special dance on Sunday morning in the Olympic Stadium with special badges.

Jim Hinkle of the Paws & Taws placed his club's bid for the Summer Jamboree. The dance would be held in Luxembourg in a double hall with a capacity of 800 dancers. One hundred rooms are reserved at the Holiday Inn, at a cost of $23.00 per day for a double room, with children under 12 free. There is adequate parking space for everyone. The hotel is a 15-minute walk from the dance hall. An outdoor barbeque is planned for Saturday afternoon after the general membership meeting.

Vern called for a vote and the Paws and Taws' bid for the Summer Jamboree was accepted. The Jamboree will be held in Luxembourg on 6, 7, and 8 July 1973.

Marv Leibowitz commended the Bavarian Stompers for the work they performed in preparing their bid for the Summer Jamboree.

Round Dancing: Vern proposed, on behalf of ECTA, that the 7:00 - 8:00 round dancing at jamborees be used primarily to review new round dances and round dance movements learned during Saturday afternoon's work shop.

PA System: The PA System was bought in 1963 and an agreement regarding the set was composed and signed by Jay Martin and Cal Golden. The Association paid 80% of the cost of the set, approximately $1200.00. The set cost $1600.00 brand new in 1968. The set has depreciated, and its present value is $353.48. The Association pays 80% of all major repairs and ECTA gives the Association 80% of rental fees received from use of the set. ECTA would like the Association to give the PA set to them. ECTA would then sell the set and use the money along with money from their treasury to buy a new PA set costing from $1100 - $1600. The new set will be made available to the Association and its members just as the old set is at present.

Marv Leibowitz suggested that the Association pay ECTA 20% of the set's present value and then provide it to member clubs for their use.

Cleve Cooper, ECTA's liaison to the Association, informed Marv that if the Association did this, ECTA would not be able to buy a new set. If ECTA gets the old set, they can trade it back to Hilton for a new Hilton set at a trade-in value of $400 - $600.

Vern made the motion that the Association give the set to ECTA. The motion was voted on and accepted.

EAASDC and ECTA Jamboree Profit Sharing: Vern proposed that a constitution change be made for EAASDC to give to ECTA 20$ of the Association's 40% of the profit from Jamborees and Round Ups, or $50, whichever is more. In return, ECTA will give 10% of the profits from the Student Jamboree to the club or clubs hosting the jamboree. Vern pointed out that ECTA will receive $50 even if the Jamborees or Round Up lose money, because the callers will have done their jobs and should receive some recompense.

On behalf of EAASDC, Vern stated that the Association would be opposed to any club bringing in a stateside caller as long as ECTA's callers are not being paid for calling at special dances.

Vern proposed that all board members of ECTA and EAASDC be allowed to attend all special dances free of charge. This applies only if the officers are representing their board by wearing their official badges.

Miscellaneous: Peter Schensick of the Swinging Bears bid for the 1974 Round Up in order to let Bob Osgood have sufficient advance notice to arrange a tour from Washington to Europe at that time. Also, a group from England would like to arrange a tour at the same time.

Drinking while square dancing at an after party will be discouraged in the future.

The next general membership meeting will be held at the Spring Jamboree.

Mickey Grant made the motion to adjourn. Dave Ostrander seconded and the motion was carried. The meeting adjourned at 15.35.

Die General Membership Meeting der Europäischen Vereinigung Amerikanischer Square Dance Clubs (EAASDC) wurde vom Präsident Vern Hoover am 2 Dezember 1972 um 13.15 Uhr in der Benjamin Franklin Village Elementary School in Mannheim zur Ordnung gerufen. Es waren 34 Clubs bei der Verlesung der Namen anwesend. Das Protokoll des letzten Meetings wurde angenommen. Der Kassenbericht wurde verlesen und angenommen. Ein Durchschlag ist an dieses Protokoll angeheftet.

Alte Angelegenheiten

Mickey Grant, Stuttgart Strutters, berichtete, dass das Spring Jamboree vom 6 - 8 April in der Sporthalle in Nellingen stattfindet. Hallenbad und Sauna stehen zur Verfügung.

Banner Stehlen: Das Banner Stehlen ist zum Geschäft wurde und der eigentliche Grund, die Freundschaft zu fördern und Clubs zum gegenseitigen Besuch zu ermuntern, kein Anlass sein muss um dafür ein Banner oder einen anderen Gegenstand zu nehmen.

Jim Kinkle, Paws und Taws, schlug den Clubs vor sich kleine hölzerne Banner zu besorgen und an besuchende Clubs zu geben.

Earl Barton, Stuttgart Strutters, schlug vor, dass jeder Club sich ein hölzernes Banner zulegt, welches dem besuchenden Club mit den meisten anwesenden Mitgliedern zugesprochen wird.

Doc Karls, Kuntry Kuzins, schlug vor, dass der Club, der kein Banner zum weggeben hat, ein Club-Badge dafür gibt.

Vern schlug vor, dass die EAASDC - Regeln für das Banner Stehlen wie folgt abgeändert werden:

Von den EAASDC Mitgliedsclubs sollte bei einem Besuch kein Gegenstand der Kleidung gefordert noch ein solcher angenommen werden. Jedes gestohlene Banner wird am nächsten Jamboree oder Round Up zurückgegeben.

Neue Angelegenheiten

Vern schlug vor, dass die Gebühren für ein Jamboree und das Round Up aufgehoben werden begründet durch die große Anzahl von Club Tänzen oder dass Club Tänze, wie Graduations und Anniversaries, nicht mehr in den Kalender der Vereinigung aufgenommen werden sollten.

Jim Hinkle schlug den Clubs vor die Chatterbox zur Ankündigung ihrer Graduations und Anniversaries zu benutzen.

Marv Leibowitz, Stuttgart Strutters, erklärte Vern, dass eine Aufnahme von Graduations und Anniversaries in den Kalender der Vereinigung noch keine Genehmigung dieser Tänze bedeutet. Sein Hauptgrund ist die Mitgliedsclubs von der Planung mehrerer Special Dances am selben Abend abzuhalten und der Vereinigung die Möglichkeit zu geben mit mindestens einem Offizier bei jedem Tanz anwesend zu sein.

Doc Karls schlug vor, dass die Einnahmen der Vereinigung von den Jamborees auf die Hälfte gekürzt und ein geringerer Eintritt als bisher am Round Up verlangt wird.

Albert van der Loeff; Holland Windmillers, wies darauf hin, dass einige Clubs, wie seiner, die sehr entfernt; sind nur zu 2-3 Tagen dauernden Tänzen wie Jamborees oder Round Up kommen können. Er bat dass im Interesse der entfernten Clubs alle 3 Jamborees und das Round Up weitergeführt werden unabhängig davon ob Eintritt verlangt wird oder nicht.

Peter Schensick, Swinging Bears Berlin, schlug vor das Winter und Spring Jamboree attraktiver als andere Special Tänze zu gestalten um mehr Leute anzusprechen und sie zu Extra Special Tänzen zu machen.

Marv Leibowitz meinte, dass die Diskussion über ein freies Round Up, wenn zugestimmt wird, nicht zu einer Änderung der Satzung führen sollte. Heute kann es sich die Vereinigung leisten ein freies Round Up zu machen aber in der Zukunft vielleicht nicht. Deshalb sollten alle neuen Offiziere entscheiden ob sie ein freies Round Up veranstalten oder nicht.

Mickey Grant warf ein, dass die Stuttgart Strutters die Spring Jamboree nicht aus Gewinngründen machen. Sie wollen einfach nur einen guten Tanz veranstalten. Sie haben den Night Owl Dance ( Nacht Eulen Tanz) den sie jedes Jahr einmal veranstalten und an dem sie genügend Geld verdienen um den Club ein Jahr zu unterhalten. Deshalb soll das Spring Jamboree kein Tanz mit Gewinn sein.

Bob Shrewsbury, International Squares, meint, daß die Jamborees eine gute Möglichkeit sind kleine Clubs zu unterstützen, weil sie schwer arbeiten müssen und Geld zur selben Zeit verdienen können.

Peter Schensick meint, daß es viel wichtiger ist ob die Anzahl der Tänzer bei Jamborees und Special Tanzen von Jahr zu Jahr wächst als Geld zu verdienen. Wenn die Anzahl der Tänzer jedes Jahr wächst dann ist der Tanz erfolgreich.

Jim Hinkle schlug vor, daß die Vereinigung wenn sie mehr Geld von einer Jamboree erhält als sie braucht das Geld zum Kauf von Broschüren und Flugblättern für die Mitgliedsclubs verwendet wird um bei Anfängerkursen zu helfen und für den Square Dance in Europa Reklame zu machen.

Ray Phelps, Heidelberg Hoedowners, schlug vor, daß die Vereinigung Gebiets - Jamborees fördert um einige kleine Clubs in einem Gebiet zusammen zu bringen und um eine Jamboree zu veranstalten und den Gewinn zu teilen. Dies wäre eine große Hilfe für die kleinen Clubs.

Dave Ostrander, Bavarian Stompers, schlug der Vereinigung vor ihr überflüssiges Geld zur Sicherstellung von Hallenkosten für Jamborees zu benutzen.

Vern wies darauf hin, dass eine Aufteilung des überflüssigen Geldes zwischen den Clubs bedeuten würde jedem gar nichts zu geben.

Vern kündigte an, daß es keine Veränderung zu Jamborees und Round Ups geben würde. Ferner wird der Kalender der Vereinigung wie bisher aufrechterhalten ohne Verpflichtung zum Besuch der aufgeführten Tänze.

Vern bestätigte, daß die Vereinigung annähernd $ 150 von jedem Jamboree erhält.

Bernie Saunders, Schwarzwald Tänzer, schlug vor, daß jeder Mitgliedsclub wenn er seinen jährlichen Beitrag zahlt ein auf den neuesten Stand gebrachtes Exemplar des Square Dance Pakets erhält.

Vern wies darauf hin, daß das Paket hauptsächlich mit Broschüren gefüllt sind die keiner Erneuerung bedürfen, daher würde sich dieser Vorschlag als Geldverschwendung erweisen.

Bob Shrewsbury wies ferner darauf hin, daß viele dieser Broschüren, die im Square Dance Paket enthalten sind, leicht im Record Shop zu bekommen sind.

Möglichkeiten zum Geldausgeben werden bis zur Spring Jamboree hinausgeschoben.

Bitten um Jamborees: Bob Waldera, Bavarian Stompers, meint daß die Möglichkeit 9 Monate oder ein Jahr im Voraus um die Veranstaltung einer Jamboree zu bitten den Clubs helfen würde bei der Planung des Programms und der Erlangung ihrer Hallen.

Marv Leibowitz schlug vor den Artikel 4 Absatz 2 § 2 wie folgt zu ändern:" ... nicht um mehr als 3 Jamborees in Voraus zu bitten". Peter Schensick schlug vor, daß es Clubs möglich sein sollte 3-4 Jahre im Voraus zu bitten. Marv Leibowitz schlug vor Artikel 4 Absatz 2 § 2 wie folgt zu ändern:" Mitgliedsclubs werden aufgefordert sich um die Durchführung eines Jamborees zu bemühen. Anträge werden nur an General Membership Meetings angenommen. Clubs können für jede kommende Jamboree an jedem Meeting bitten. Bitten müssen mindestens 2 Jamborees im Voraus vorliegen. Der bittende Club muss eine letzte Bestätigung 2 Jamborees vor der Jamboree, um die gebeten wurde, geben".

Summer Jamboree: Larry Wilburn, Bavarian Stompers, bittet für seinen Club um das Sommer Jamboree. Sie soll in der Augsburger Sporthalle stattfinden.40 Zimmer wurden in einem amerikanischen Hotel reserviert und dort sind freie Campingplätze in der Nähe. Am Sonntagmorgen findet ein Extra Tanz im Olympia Stadion mit zusätzlichem Badge statt.

Jim Hinkle, Paws und Taws, bat für seinen Club um das Sommer Jamboree, Der Tanz findet in einer Doppelhalle mit einem Fassungsvermögen von 800 Tänzern in Luxemburg statt. 100 Zimmer wurden im Holiday Inn zum Preis von $ 23 pro Tag für ein Doppelzimmer und Kinder unter 12 frei reserviert. Es gibt ausreichende Parkplätze für jedermann. Das Hotel ist 15 Minuten von der Tanzhalle entfernt. Ein Outdoor Barbecue ist für Samstag nachmittag nach dem General Membership Meeting geplant,

Vern rief zur Wahl auf und die Bitte der Paws and Taws für das Sommer Jamboree wurde angenommen. Die Jamboree findet vom 6-8 Juli 73 in Luxemburg statt.

Marv Leibowitz lobte die Bavarian Stompers für die Arbeit die sie ausführten um ihre Bitte für das Sommer Jamboree vorzubereiten.

Round Dancing: Vern schlug für ECTA vor, daß der Round Dance von 7 - 8 Uhr an Jamborees in erster Linie zur Wiederholung der neuen Round Dances und Round Dance Figuren, die während des Workshops am Samstagnachmittag gelernt wurden, dienen sollte.

PA - System: Das PA - System wurde 1968 gekauft und ein Abkommen, das Set betreffend, wurde verfasst und von Jay Martin und Cal Golden unterschrieben. Die Vereinigung bezahlte 80 % der Kosten für die Anlage, annähernd $ 1200. Das brandneue Anlage kostete 1968 $ 1600. Die Anlage ist im Wert gesunken und ihr heutiger Wert beträgt $ 353,48. Die Vereinigung bezahlt 80 % aller großen Reparaturen und ECTA gibt der Vereinigung 80 % aller Einnahmen, die durch Vermietung des Sets eingenommen werden. ECTA möchte gern die Analage von der Vereinigung haben. ECTA würde diese dann verkaufen und mit dem erhaltenen Geld und Geld aus ihrer Kasse den Kauf einer neuen PA - Anlage, die zwischen $ 1100 - $ 1600 kostet, finanzieren. Die neue Anlage soll der Vereinigung und ihren Mitgliedern genau so zur Verfügung stehen wie das alte Set zum jetzigen Zeitpunkt.

Marv Leibowitz schlug vor, daß die Vereinigung 20 % des heutigen Wertes an ECTA zahlt und dann Mitgliedsclubs zu deren Nutzen mit dem Set versorgt. Cleve Cooper, ECTA's Verbindungsperson zur Vereinigung, informierte Marv, daß es, falls die Vereinigung dies tun sollte, ECTA nicht möglich wäre ein neues Set zu kaufen. Wenn ECTA das alte Set erhält können sie es für eine neue Hilton - Anlage zum Wert von $ 400 - $ 600 in Zahlung geben. Vern machte den Vorschlag, daß die Vereinigung das Set an ECTA abgibt. Über den Vorschlag wurde abgestimmt und er wurde angenommen.

EAASDC und ECTA Gewinnaufteilung: Vern schlug vor, daß eine Satzungsänderung gemacht werden sollte mit folgendem Text:

EAASDC gibt ECTA 20 % von den 40 % der Einnahmen aus dem Gewinn eines Jamborees oder Round Ups oder 50 $, was auch immer größer ist. Als Gegenleistung gibt ECTA 10 % von den Einnahmen der Student Jamboree an den oder die Clubs, die diese Jamboree veranstalten. Vern wies darauf hin, daß ECTA sogar dann die $ 50 erhält, wenn die Jamboree oder das Round Up ein Verlustgeschäft ist, weil die Caller ihre Arbeit getan haben und eine Entschädigung erhalten sollten.

Im Interesse von EAASDC bestimmte Vern daß die Vereinigung gegen eine Verpflichtung eines Callers aus den Staaten durch irgendeinen Club ist solange ECTA's Caller nicht für ihr Callen an Special Dances bezahlt werden.

Vern schlug vor, daß alle Offiziere von EAASDC und ECTA an allen Special Dances freien Eintritt haben sollten. Dies trifft nur dann zu, wenn die Offiziere ihre Vereinigung vertreten und ihr Badge tragen.

Verschiedenes: Peter Schensick; Berlin Swinging Bears, bat um das Round Up 1974 um Bob Osgood eine ausreichend vorherige Bekanntmachung zu geben um eine Tour von Washington nach Europa zu dieser Zeit zu planen. Auch eine Gruppe aus England möchte zu dieser Zeit eine Tour arrangieren.

Man wird in Zukunft versuchen das Alkoholtrinken während des Square Dance bei einer After Party zu unterbinden.

Die nächste General Membership Meeting findet am Spring Jamboree statt.

Mickey Grant beantragte das Meeting zu beenden. Dave Ostrander unterstützte den Antrag und er wurde angenommen. Das Meeting endete um 15.35 Uhr.
