Minutes of General Membership Meeting 7 April 1973
The general membership meeting of the European Association of American Square Dance Clubs (EAASDC) was called to order by the Association President, Vern Hoover, on 7 April 1973 at 12:15 hours at the Sporthalle in Nellingen. There were 18 clubs present at roll call. Two changes were made to the minutes of the last meeting. On page 4: Round Dancing; Friday night 7:00 to 8:00 P.M. round dance session will be a review of those dances taught at the last jamboree. On page 5: The 1974 Round-up was awarded to the Berlin Square Dance Association by majority vote. The minutes were then approved. The treasurer's report was given and approved. A copy is attached to these minutes.
UNFINISHED BUSINESS The new Banner Rules as approved at the Winter Jamboree were published in the CHATTERBOX.
Constitution changes as published in the January CHATTERBOX were voted on individually and changes 1 through 5 were carried while number 6 will again be revised and voted on at the next meeting at the Summer Jamboree.
A report on the Summer Jamboree was given, by Jim Hinkle of the Paws & Taws. Friday night is a Trail-End dance. A tour of Luxembourg City going to Nice, France is available between 8:00 and 8:30 on Saturday. Camping and hotel reservations must be made as soon as possible as this is the height of Luxembourg's tourist season. Reservations for the Holiday Inn Hotel in Luxembourg may be made by TELEX from any other Holiday Inn referencing "Square Dance Summer Jamboree". Other hotel reservations must be confirmed by mail. Don't get that you will need an I.D. card, your wife's up-to-date passport, Form 80 or Form 31 in order to cross the border, and if you are driving you will need an International Driver's License. Direct any questions concerning the Summer Jamboree to Jim Hinkle who's address is listed in the CHATTERBOX.
A memorandum of understanding between ECTA and EAASDC was signed on 24 February 1973. This MOU is a result of the presentation of the PA set to ECTA. The MOU consists of the following three points: 1. PA set to be provided without cost to one round-up and three jamborees each year. 2. PA set to be provided without cost to any other EAASDC sponsored dance. 3. If ECTA should ever dissolve, the PA set will go back to EAASDC. The entire MOU will be printed in the May CHATTERBOX.
NEW BUSINESS COMBURG SQUARES of Schwabisch Hall-Hessental were voted in as full members of EAASDC pending receipt of their constitution and review by the association. Their caller is Larry R. Walker who will get an associated membership to ECTA in April.
Student Jamboree agenda: Wiesbaden Community Center on 5 May. Rounds from 7 to 8 and squares from 8 to 11 P.M. Admission is $1 to include badge. Callers: MC Bob Falconi; rounds: Corky Pell, Horst Brockel, Don Doerr, Marv Leibowitz; squares: Cleve & Missy Cooper, Jim Johann, Jim Cholmondeley, Brent Nelson, Bob McVey, and Steve Walton. The level of dancing will be the 50 basics.
H. J, Resolution 555 to have square dancing recognized as the "folk dance of America" was discussed and club members were urged to write to their Congressmen or representatives. A petition was sent to Congress from here two years ago and it was decided that a new petition will be set up at the Fall Round-up this year.
ECTA's Callers Clinic from 19 to 22 April in Chiemsee will be a yearly affair. Club members are encouraged to attend - especially those from clubs which will be needing callers because of rotations. Cost is $ 40 plus room, meals, etc.
23rd National Square Dance Convention in San Antonio, Texas: Steve and Fran Stephens have charge of decorating one big room and would like replicas of our club banners. Send Vern a COLOR photo of your banner with specifications and be sure writing is legible on banner in your photo. Vern will have them all sent to San Antonio together. They would like as many banners as possible to include our German club banners. Send these as soon as possible.
Joint Board Meeting of ECTA & EAASDC: Standard dates for the Student Jamborees and dates for submitting bids for such are the first Saturday in May with bids to be in by the 31st of January and the first Saturday in December with bids to be in by the 31st of August. Bids are to be submitted directly to ECTA in writing and the host club will be selected at the ECTA general membership meeting. A change to the constitution will be affected at the Summer Jamboree. The agreement of 10% of net profits going to the host club stands.
It was confirmed that the 20% or $50 going to ECTA is for the ECTA treasury and not meant to be split up among the callers of the program.
Square Dance Workshop material will be called in two tips in the Saturday evening jamboree program to begin tonight.
The Country Store wants a new charter with EAASDC. Member clubs decided in favor since we need something of this sort. The Country Store will contact EAASDC and a new charter will be drawn up. It will possibly be at the Student Jamboree on 5 May.
Bid for the Winter Jamboree for Nov 30 and Dec 1 & 2 made by the Glow Worms was accepted. ECTA concurred in changing the Student Jamboree to the second Saturday in December.
A bid was accepted from the Bavarian Stompers for the Summer Jamboree of 1974 to be held at the Augsburg Sporthalle.
Fall Round-up: To be held at Heddesheim near Heidelberg. Entrance is free to those who have their green membership cards on their person. Dates are 31 August and 1 & 2 September. Clubs are to volunteer to work with the round-up. The theme is "HARVEST MOON". Ray Phelps volunteered the Heidelberg Hoedowners to take care of registration.
Friendship Badges: There are no Friendship Badges available for today but Vern will be responsible for getting them to the people to whom he will make presentations to this evening without the badges. Signatures for Friendship Badges are not to be gotten at special dances. A special dance is any advertised dance even if it's a graduation on a regular club night.
A proposal to change the EAASDC Association year from 16 Sep - 15 Sep to 1 Jan - 31 Dec was made. Elections and membership will not be concurrent. This change will be voted on at the general membership meeting at the Summer Jamboree.
The nomination committee to present nominations for the next president of EAASDC includes Doc & Agnes Karls as chairman, and Micky & Dee Franz and Lynn Sandstrom. Club members are encouraged to bring their nominee names to one of these individuals on or before the Summer Jamboree.
Copyrighting of member club special dance names: It was approved that the Association recognize and issue "copyrights" to member clubs hosting annual special dances. Copyrights will not be legally binding but a deterrent for a different club to host an identical type dance using the "copyrighted" same. Dances in recognition of major legal holidays will not be copyrighted by the Association. The Night Owl badge and dance are both copyrighted in the U.S. having originally started in Lee, Nebraska. The Stuttgart Strutters obtained permission to host the dance in Europe. Therefore, the Association will "copyright" the Night Owl Dance to the Strutters. It was noted that the Karlsruhe Kut-ups and the Gateway Twirlers host Fasching Dances at the opposite ends of the Fasching season. Both clubs will be "copyrighted".
Discussion of conflict of interest about member clubs hosting any type special dance on scheduled jamboree/round-up dance nights. Members present were unanimous in opposing special dances of any type being held on jamboree/round-up weekends. A proposed change to the constitution will be voted on at Summer Jamboree.
Discussed making the Jamborees and the Round-up into two day affairs. Vern related discussed views at ECTA & EAASDC Joint Board Meeting. Trail-end dances in other areas for those enroute was suggested. Clubs would have to let the CHATTERBOX know if they were not dancing on their regular night of a jamboree or round-up.
Darmstompers of Darmstadt are now associate instead of full members due to loss of American members because of rotation and relocation of dancing facility.
Introduction of new EAASDC Board members: Dick Jesse - Project Director and Ray Phelps - Treasurer.
Marv Leibowitz gave a brief description of C.R.O.W.D., Sets 'n' Order American Square Dance Association, and the Overseas Dancers Association. He also announced an attempt to arrange to charter an aircraft from Europe to the 23rd National Convention in San Antonio, Texas in 1974.
