Minutes of General Membership Meeting 7 July 1973
The general membership meeting of the European Association of American Square Dance Clubs (EAASDC) was called to order by the Association President, Vern Hoover, on 7 July 1973 at 13:10 hours at the Holiday Inn in Luxembourg. There were 24 clubs present at roll call. The minutes of the last meeting were approved. The treasurer's report was given and approved. A copy is attached to these minutes.
OLD BUSINESS A list of all dances presently approved to be copyrighted was given, as follows:
These clubs will be given copyright by the association for their respective dance names. This does not preclude other clubs from giving the name type of dance; it only prevents the use of the same name by other clubs.
Proposed cconstitution changes to article V Section III, Art, V Sec. IV, Art. V Sec. I were voted on individually and all were carried. Also, Art. IV Sec. V and Art. IV Sec. VI were voted on and added to the Bylaws.
It was noted that although the Student Jamboree were supported to be held on the first Saturday in May and December, this year's second Student Jamboree will be held on the second Saturday in December. This is due to the fact that the Glow Worms had already contracted for the Winter Jamboree Dance hall for the first Saturday in December. ECTA agreed to change the Student Jamboree to the second Saturday in December for this year only.
NEW BUSINESS At present the only penalty for non-payment of Association dues is non-receipt of the CHATTERBOX and its attendant publicity. After general discussion, it was decided that at the Round Up a list of all clubs which have paid their Association dues for the current year will be kept at the door. Any dancer belonging to delinquent clubs will be charged extra.
Doc Karls made the motion that Article VII Section I be changed to read: "Suspended clubs or associated members may be instated upon payment of current dues and 50% of past due dues". The motion was passed; the proposed amendment will be published in the August CHATTERBOX and will be voted on at the Fall Round Up.
Po Valley Twirlers of Vicenza, Italy, were voted in as full member of EAASDC pending receipt of their constitution and review by the Association. Their caller is Ray Innes, who recently completed the caller clinic in Chiemsee. The Po Valley Twirlers graduated their first class of dancers in June and they now have one square of dancers.
The Kuntry Store has a new agreement with EAASDC. The only change in the new agreement as opposed to the old agreement pertains to the Student Jamboree. Formerly, EAASDC received 2% of the profits at all jamborees and round ups and the host club received 3% of the profits. Under the new agreement, 2% of the profits from the Student Jamboree will go to ECTA and 3% of the profits will go to the host club. Also, any club which contract with Frenchy to come and sell at their clubs will receive 5% of the gross sales. At the Winter, Spring and Summer Jamboree and the Fall Round Ups the Association will receive 2% of the profits and the host club will receive 3% of the profits.
Vern requested that when member clubs pay their next year's dues, they also include the number of members the club has at that time as well as the number of students which were graduated during the past year. This will enable the Association to provide sufficient green cards to each club.
Clubs are reminded that all bids for the Student Jamboree to be held on the second Saturday in December must be submitted o ECTA not later than 31 August.
The Shape Shuffling Squares' bid for the 1974 Spring Jamboree was accepted. The final report on the arrangements for the Spring jamboree will be given at the Fall Round Up.
It was brought to the attention of the member clubs that the CHATTERBOX is operating in the red. Vern asked member clubs to encourage their individual members to subscribe to the CHATTERBOX and to use the CHATERBOX for advertising. It was pointed out that without the CHATTERBOX, Square Dance clubs would be virtually isolated from the Square Dance community. A suggestion was made that the Association underwrite the CHATTERBOX if it continues to operate in the red. Vern will discuss this suggestion with Chris and Ruthie Vear.
Vern proposed a change to Article III of the constitution. The proposed constitution change pertaining the membership qualifications would allow members of present associated clubs to be officers of the Association. The only restriction under the new change will be that the Treasurer must be American. The change was tabled pending findings of a board which will check on the possible ramifications of such a change. Doc Karls will talk to Bonn; Brent Strickland will talk to USAF; and Vern Hoover will talk to USAREUR. Their findings will be reported on at the Fall Round Up General Membership Meeting.
Vern requested that the nominating committee present their nominations for the President of EAASDC. Doc Karls, chairman of the committee, stated that the committee's nominations for President of EAASDC are Jon and Linda Hibbs of the Glow Worms and Ray and Erika Phelps of the Heidelberg Hoedowners. Vern then asked for nominations from the floor. Dick Paulder of the Heidelberg Hoedowners was nominated and accepted. Nominations were then closed. Resumes of each nominee will be published in the July issue of the CHATTERBOX.
The Fall Round Up will be held in Heddesheim near Heidelberg. The entry fee will be $1.00 per person in addition to green cards or badges indicating membership in currently active clubs. Hotel, motels and camping facilities will be listed in the August CHATTERBOX. The Square Dance callers for the Fall Round Up will be Cleve and Missy Cooper, Don Phipps, Bob McVey, Rudi Pohl, Vern Vernazzaro, Steve Walton, Rainer Jantzen, Dietmar Weigel and Tom Crisp. Special guest caller from the States will be Jerry Helt. Rounds will be cued by Herb and Betty Easterday as well as all round dance instructors presently on ECTA's membership roll. Chris Vear will MC all three days of the Round Up.
For those clubs which need badges made for the special dances, jamborees, etc., the Blue Engravers 315 West 7th Street, San Pedro, California 90731, charge 25¢ per badge in quantities of 100 or more. The only restriction is that the badges must be round or rectangular; they cannot be odd-shaped. The designs are stamped on the badges, not engraved. This company provides exceptionally fast service.
Ingrid Paulder of the Heidelberg Hoedowners was introduced as the new Secretary of the Association. She will replace Marilyn Smith, who is returning to the States shortly.
Individual clubs were urged to enforce dress etiquette among their members. For the men this means no short-sleeved shirts. For the women, pettipants and full skirts are proper wear, backless, sunbacked and halter tops to be discouraged.
Corky Pell is going to conduct a round dance instructors class. The only requirement is that the students be experienced round dancers. The course will last 40 hours.
A challenge was issued to all European Square Dancers to help raise the standard of Square Dancing in Europe. A copy of the challenge will be published in the July CHATTERBOX.
