Minutes of General Membership Meeting

1 December 1973

 

The general membership meeting of the European Association of American Square Dance Clubs (EAASDC) was called to order by the Association President, Dick Paulder, on 1 December 1973 at 12:40 P.M. in Worms. There were 19 clubs present at roll call. Minutes of the last meeting were approved as written. The Treasurer's report was given and approved. A copy is attached for your information.

 

OLD BUSINESS - None

 

NEW BUSINESS

 

Dick Paulder noted that change 1, USAREUR Regulation 230-3 requires the inclusion of an equal opportunity statement to club constitutions. USAFE has the same requirement with it's own particular regulation covering this inclusion. This requirement applies to all clubs which use U.S. facilities. The EAASDC constitution will also be changed to reflect this statement. He also pointed out that constitutions are supposed to be approved by the appropriate Support District commander on an annual basis.

 

A discussion was held on the possibility of bidding for Jamborees and Roundups at least 1 year in advance instead of the present 6 months. This would allow for better planning on the part of the hosts, especially along the line of arranging for a place to hold the dance. Doc Karls presented a motion to accept bids for these dances between 1 and 2 years in advance. Seconded by Nick Nichols, the motion passed by an 18-7 vote.

 

Mac McMillan made a motion that the vote for acceptance of bids for Jamborees and Roundups be delayed until the following Jamboree (e.g., bids made at Spring Jamboree would be voted on at the Summer Jamboree). This motion was tabled until the next meeting. Club representatives attending the General Membership Meeting at the Spring Jamboree should be aware of this and be prepared to discuss the pros and cons.

 

Some discussion oil the length of Jamborees and Roundups occurred with the main thrust placed in the direction of the Friday night "Trail End Dance". As in the past, it was noted that those clubs that normally dance on Fridays were not obligated to avoid dancing on this day merely because it was the weekend of the Jamboree. It was noted by Vern Hoover that the Friday night "Trail End Dance" is actually meant to be a free dance held primarily for those dancers who have come a good distance and for those other dancers who would just like to enjoy an extra day of dancing. This does not preclude a club from collecting Jamboree/Roundup fees on that night since practically all those present Friday will also be present Saturday.

 

Dick Paulder brought up a proposal for an introductory book on square dancing. This book would contain 80-100 pages and would cover all aspects of square dancing with special emphasis on the European community of dancers. A cost estimate has yet to be made and until exact composition is determined, a reasonable estimate is difficult. In an effort to determine the extent of interest, Dick would like each club to discuss this among its members and while doing so, consider not only the content desired but the problems inherent with an undertaking of this sort (e.g., updating, distribution methods, etc.). This will be discussed further at the Spring Jamboree.

 

Along this same line, the American Yearbook Company, which does all the High School Yearbooks, has asked us to consider whether or not we might like to have a "Square Dance Yearbook". This should also be discussed by the clubs prior to the next meeting. No action is to be taken prior to further consultation with the clubs. Details on content, cost, etc, would have to be worked out 0) at a later time. During a discussion of the two books, comments were generally in favor of the introductory book but were rather hesitant about the yearbook primarily due to what most feel will be a prohibitive cost factor.

 

Vern Hoover announced that Corky Pell has offered to provide advice to any club that would like to know how to keep single line book entries for their financial records.

 

It was announced that the Student Jamboree scheduled for the following Saturday would not be cancelled and would take place as scheduled on 8 December 1974.

 

Anyone desiring to have their special dance placed on the EAASDC calendar of events should contact Anny Klingenschmidt or Dick Paulder. It is preferred that this be in writing to avoid confusion.

 

Dick has asked each club to insure that EAASDC has a current copy of their constitutions and that when changes are made, a copy is sent to the Secretary or President. A letter asking that this be done was sent out in October, but to date, response has been very poor.

 

With reference to EAASDC membership cards, Dick noted that it would be nice to see clubs holding special dances use a dual price system (ie., normal entrance fee for current card holders versus increased charge for non-members).

 

The Glow Worm Dance will be held on 18 May 1974 at a new and better location.

 

The Frankfurt Beaux & Belles have changed their dance location to the AYA Community Center at Drake-Edwards Housing Area.

 

The Zweibrucken Round Wheelers are now dancing from 7 to 8 P.M. on Friday nights at the Zweibrucken Wheelers & Dealers meeting place.

 

The Sembach Buttons & Bows are dancing on the 1st and 3rd Fridays instead of the 2nd and 4th as stated in the Chatterbox. In addition, the annual New Years Dance will be at the Sembach Recreation Hall and the After-Party will be at a gasthaus.

 

The Bavarian Stompers will be accepting advance registrations for the Summer Jamboree in Augsburg.

 

Doc Karls stated that a student dance will be held at Birkenfeld on 14 December 1974. This dance is not intended to detract from the Student Jamboree, but is designed to give those students who are unable to attend the Jamboree a chance to dance with other clubs and students at their level. The primary reason for this is the driving ban and as such, the dance was not planned until it became apparent that the ban might conceivably cause the cancellation of the Jamboree. This will be a free dance with a nominal charge for badges if desired.

 

EAASDC was asked by the President of the Glow Worms to refrain from accepting special dance requests from the club caller and accept only those submitted by the club board.

 

The special dances presently listed on the EAASDC calendar were announced (see December Chatterbox listing of Coming Events through 20 April 1974.)

 

Dick stated that advertisement for special dances must improve if we are to have successful dances. Use of the Stars & Stripes, AFN, Community Bulletins, and any other method within a clubs capability should be used to the maximum extent possible. This also holds true when recruiting new dancers.

 

Special announcements at special dances are normally not considered a problem, but as has been noted in many cases, they are almost always relayed in only one language leaving the person who does not speak that language guessing at what was said or scurrying around looking for a translator. Dick asks that whenever possible, special announcements be made in both German and English. (Not applicable in countries where German is not the native language unless a substantial amount of Germans happen to attend a special dance there).

 

Dick asks that club leaders encourage their dancers to attend the Jamboree/Roundup Workshops.

 

An English caller who will be in Germany from 17 to 27 May 1974 has offered his services to clubs holding special functions. Dick has his address and if interested, clubs will have to make all arrangements related to fees and any other requirements he may have while in area of club. This should involve very little problems and might be a rare novelty if you are looking for something different to spice up your program.
