Minutes of the Meeting on 28.4.79 at

the Spring Jamboree in Berlin

 

Don Hughes started the EAASDC-Meeting in Berlin on 28.4.79 with the information, that the constitution of EAASDC has been approved by USAREUR. But USAREUR reminded EAASDC of the 5% non- American-percentage. So we have to find a gentlemen agreement.

 

Representatives of the following clubs signed in the list before the meeting started: Ahrensburg Castle Ghosts, Black Mountain Square Dance Club, Boots & Ruffles, Button & Bows, Carousels RDC, Crazy Eights, Cross Country Hoppers, Crossing Swords, Grand Squares, Hamburgers, Heidelberg Hoedowners, International Squares, Kätchen Swingers, Kuntry Kuzins, Kut Ups Karlsruhe, Mannheim Mixers, Mavericks, Merry Mixers, Munich Dip N Divers, Munich Motivators, Munich Roadrunners, Old West Squares, Pattonville Promenaders, Rokoko Dancers, Rubber Dollies, Söllingen Swingers, Soest Belles & Beaux, Square Ups Berlin, Stintfang, Stuttgart Strutters, Swinging Bears, Swinging Stars, Tamara Twirlers, Wattwürmer, Wheelers & Dealers.

 

To the last minutes a change must be made:

11. last line should be: "Spring Jamboree 1980".

 

Treasurer's report was given and accepted.

 

Old Business:

 

1. Jamborees:

1.1.Winterjamboree 1978 (Mannheim):

no report

1.2. Spring Jamboree 1979 (Berlin):

Some announcements to the program were given. Don Hughes had heard some complaints, and so he reminded that nobody shall drink alcohol during dancing, that men shall have no short sleeves and women shall wear square dance clothes during the dance.

1.3. Summer Jamboree 1979 (Heilbronn):

There will be babysitting for Germans and Americans. Every club should submit an approximate number of people requiring babysitting services to Heilbronn. Cutoff Date: 15.June 1979.

1.4. Student Jamboree June 1979 (Schweinfurt):

no report

1.5. Fall Round Up 79 (Frankfurt):

The Round Up will be held in Kelkheim (15 minutes outside of Frankfurt). More information will be sent to the clubs.

1.6. Winter Jamboree 1979 (Darmstadt):

no report

 

2. Membership of the Rhein-Neckar-Swingers:

This club still cannot join EAASDC because they haven't sent their constitution to the President.

 

3.Questionnaire of Publicity Director:

Ilse hasn't yet received a few questionnaires. All changes of dance locations or addresses shall be announced to EAASDC, so that at least the Secretary and Publicity Director always have the updated information.

Everybody shall look through the orange file of the Publicity Director and see, if all addresses are o.k. or something must be changed.

 

4. The Crossing Swords in Solingen had the complaint, that their special dance is not listed in the EAASDC calendar although they had reminded the President very often. Don Hughes told them that he had stopped listing all special dances in EAASDC calendar until the problem of GEMA was cleared up.

 

5. Chatterbox - Newsletters:

The GEMA-contract is so expensive that it is not possible to start the Newsletter, besides the Chatterbox has improved.

 

New Business:

 

6. ECT comments:

6.1. The Equipment of ECTA can be used by all clubs for special dance. Those clubs should inform ECTA 30 days in advance and the clubs requesting the equipment are responsible for transportation.

 

6.2. The wireless microphone will be sold for a minimum of 750 DM. ECTA will take bids for it if they are in a closed envelope.

 

7. New Clubs:

7.1. Guns & Garters:

 

7.2. Dancing Owls:

They dance in Voorschoten/Netherlands with the Caller Big Ben. They have right now 13 members.

7.3. Rocky Rompers:

They dance in Sardinia/Italy on Friday nights. Caller: Jackie Weldon

7.4. RHYTHM Rounds:

This is a Round dance club in Mannheim. They have 12 members and dance on Tuesday night in Benjamin Franklin Village (same place as the Mannheim Mixers), Cuer: Bev Marlow

7.5. Pershing Promenaders: The Pershing Promenaders dance first Thursday every month in Bismark Kaserne in Schwäbisch Gmünd. Right now they have 6 members, but 2 weeks later they will graduate 12 students. Then they have the minimum of persons for a square.

 

All clubs have been accepted to join EAASDC with no votes against or abstentions.

 

7.6. Pader Jumpers: They couldn't join EAASDC because they didn't have the non- Discrimination and the level in their constitution.

 

8. Banners and Plaques: Banners and plaques, which were taken by a square of a club prior to 6 weeks before a jamboree and were not taken back have to be returned at the Jamboree. What was taken less than 6 weeks before the jamboree must not be returned.

 

9. GEMA:

The contract between GEMA and EAASDC covers in Germany all club nights, lessons, 50 special dances in EAASDC calendar, 3 Jamborees, 2 Student Jamborees, 1 Round Up and the Round Dance Festival.

This contract says that we have to pay 1,354.01 DM for 1 year. At the moment we 6 big dances with 50 dancers in the contract. For the other dances we didn't announce so many dancers. If there would be more dancers, we had to pay little more money. We have to pay in advance.

This contract has been accepted with 45 votes for it and no vote against or abstention. So we have to pay to the GEMA for 1979, 1,354.01 DM and the same rate for 1978 (that's a flat rate for the last 10 years).

The amount for 1978 will be divided to all clubs that is about 30 DM for each club.

Don Hughes made a proposal to get the money for 1979: Each club that has a special dance in 1979 should pay a special rate. In this case every club should pay the same time when he asks to have the special dance in the official EAASDC calendar. So each special dance in the EAASDC calendar would give a portion to the amount of 1979.

Another motion, was made: each club should pay the same rate, if he will have a special dance or not. This motion was accepted with 37 votes for it, 2 votes against and 6 abstentions.

A new motion said, that the EAASDC Dues should rise, so that the money for GEMA will be included.

A copy of the contract will be sent to each club for the purpose of showing it to anybody from GEMA if he will come to a special dance. Also the exact rate for each club will be announced.

 

10.Jamboreess:

10.1. Spring Jamboree 1982:

The Stintfang Square dancers Hamburg made a bid for the Spring Jamboree 1982 so early because the hall in Hamburg is booked for a long time. They got the Spring Jamboree 82.

10.2. Winter Jamboree 1980:

The Rokoko dancers in Mannheim will have this jamboree.

 

For both Jamborees nobody else had made a bid, and so they get their Jamborees without votes against or abstentions,

 

11. EAASDC Dues must be paid because the membership to EAASDC of the clubs, which haven't paid, will end automatically after the Spring Jamboree.

 

12. Now the EAASDC calendar will be given to the Chatterbox for publication.

 

13. ECTA Meeting Comments:

2 Hilton speakers will be for sale.

There is a change of Mainstream.

 

14. Chatterbox comments:

14.1. Some unknown clubs are not members of EAASDC. The Chatterbox will publish a list of those clubs. So please if you know such a club send your information to Rolf Schuster very fast.

14.2. Some clubs have different contact and mailing addresses. Both addresses should be the same.

14.3. Chatterbox will publish the level of the clubs.

 

15. The nomination committee for the EAASDC Board elections in September is looking for people who want to help. Peggy Hughes is chairman of this committee.
