TOP 1 Board Reports
PRESIDENT The mail you send to the president, please address it only to Rainer. In case you mail it to Beate Mittmann it might last until Rainer gets it, as he separated from Beate.
VICE-PRESIDENT Meanwhile there are some dancers in the association, who traveled to 208 clubs. Up to now we were not prepared for that. To the Winter Jamboree we will have friendship badges for 208 clubs and give them to these square dancers.
The dancers, who will receive the friendship badges for 208 and 104 clubs will in future be named at the Grand March.
Don't write Evi for new friendship cards, as she does not have any. Instead get in touch with Lothar & Uschi Weidich. They are at every jamboree. With them you will get new friendship cards for free.
SECRETARY The one year subscriber membership expires for the following clubs: Hedgehogs, Stonecastle Rebels, Open Squares and Georg Katzmeier and his club. Please get in touch with the secretary to become regular members. Otherwise the secretary will get in touch with you.
The minutes from the Summer Jamboree are unanimly accepted.
TREASURER 77 Clubs still have to pay the dues raise of DM 50.- for this year. This needs to be done until the end of the year. Write clearly on the bank remittance form the name of the club, as the treasurer still receives money and does not know which club turned it in. If he can't tell, the money will be regarded as donation to EAASDC.
Treasurers books were closed on the 31st of July. On the bank account were at that moment DM 3335,52 cash in his hands DM 700,59, which means a total of DM 4036,11. With today (2nd of September) on the account are DM 2937,35 and cash in his hands DM 920,59, a total of DM 3857,94. Outstanding money are DM 8670,70 for the hall in Sneek. This money will be paid back during this weekend. Including the 77 Clubs with their payment of DM 50 each, we will reach a total amount of money in the treasury of DM 16378,64. In January 1990 we will need more than DM 25000 for insurance and GEMA coverage. Those clubs who did not yet pay, please send in the money to Jürgen Dankert!
Caused by the vacation period the cash audit could not take place before the jamboree, but will be held after it. The results will be published in the bulletin.
TOP 3 Constitution Changes
Bylaws part 2 § 7 Program On Jamborees and the FALL ROUND UP the hosting Club chooses the Callers and Cuers.
The word Fall Round Up was added, as since the summer jamboree the Round Up is given to the clubs like all the other jamborees, and is not bound any more to the president and his club. This change is accepted from the membership.
Bylaws part 7 § 5 Subscriber membership In this paragraph the money amounts will be cancelled to avoid a constitutional change every time dues are raised. This change is also accepted by the membership.
Bylaws part 7 § 2 Regular membership New text: The annual fee for regular member clubs consists of four parts, the administration fee, the insurance, the GEMA dues and the bulletin subscription. Clubs, who become member of the association after the first of July pay a reduced fee consisting of insurance, GEMA and 50% of the bulletin subscription and administration fee. The membership voted for this change.
TOP 4
At the same time than a registered dance of the Erlanger Rebels SDC two clubs and a caller in the Munich-Augsburg area announced a special dance that is not registered with the EAASDC. Gema coverage is their own problem, if they want to pay a couple of thousand marks, but they violate the EAASDC 200 km rule, as the distance is only 140 km. The Erlanger Rebels asked for help. This is a problem that at the moment can only be solved by expelling the clubs out of EAASDC. We would like to find a better solution for all parts, but for cases like this we don't have any tools in our constitution. A suggestion by the membership is to speak to the clubs Bavarian Stompers and Phantom Promenaders and the caller Dirk Loomans and have them move their special dance. This will be done with the help of ECTA as a caller is involved as organizer. At the same time we will prepare a constitution change to vote on at the Winter Jamboree, which allows us to give clubs violating rules no GEMA coverage for one year including their club nights. This proposal was accepted by vote.
TOP 5 Board Elections
Only Rainer Scheiblich with his board are the candidates for this election.
An open election is requested. Two members do not agree. It will be a written election.
85 voting-papers are turned in: 4 abstentions, 15 votes against, and 66 votes for Rainer.
Rainer and his board are elected for another year.
TOP 6 Jamboree Bits
The spring jamboree of the upcoming year is still open. One of the clubs having a special in this period should check if it is not possible to change a special into a jamboree. He will not loose the status of a charter-dance.
Antwerp requests the Summer Jamboree 1993 being in that year the cultural capital of Europe. The representative of the club could not tell us any details yet. We need them, also written, before we are able to take a decision. The proposal is made that the club applying for the Summer Jamboree 1993 will have an option on the date until the Winter Jamboree. By that time they should be able to give us more information about the hall, the facilities, a.s.o. If they do not so, the date is free for other clubs. Result of the voting: The club will have an option till the winter.
TOP 7 Various
a. Members of EAASDC would like to have more information on the Benefit Square Dance Organization. Their dances take place in areas and at times where there are enough other specials going on. They do not try to coordinate with local clubs. The goals of the organization are not clear. The president of the organization wrote a letter to all EAASDC Clubs and said he did not get any answer, but about twenty clubs of the Frankfurt area wrote him a letter.
The Netherlands clubs have the same problems with this organization. One should try to get some details until the winter jamboree.
b. Please give in the registration for your specials on the Gema forms in the bulletin and not on little pieces of paper. These get easily lost and the clubs complain, that their dance is not registered!
c. A proposal is presented to shorten membership meetings: all the clubs should send a delegate to the meetings. Also other members are allowed to come to the meetings, but without the right to speak. There should be a visible separation of the two groups during the meeting.
To make decisions easier the agenda of the meeting should be presented two month ahead in the bulletin. This gives the clubs the chance to discuss the points with their representative. It is not possible to publish the agenda two months ahead. Very often there are changes in the last minute or the jamborees happen to be within a two months term.
The idea is good but it will be hard to realize. By vote the members are against this proposal.
Should anyone have other ideas to this point, please let us know. Maybe it it's easier to find a new way with more ideas coming up.
d. At the moment there are no news about the e.V. (registered club) problem. The national representative from the Netherlands tells us that there is a possibility to become a registered club in the Netherlands by becoming member of their Chamber of Commerce for 60 guilders a year. We need to install a committee for this purpose.
e. On the winter jamboree the weekends plus minus one week for jamborees will be fixed. Prior to that there will be a printout in the bulletin.
f. Dues for member clubs are now as follows: GEMA DM 60.- Insurance DM 50.- Administration DM 30.- Bulletin DM 30.- The dues for subscribers are the same. The subscriber membership is limited to one year only. For Clubs that become full members after the first of July administration and insurance is reduced to 50% so they pay DM 140.- instead of DM 170.-.
g. A competition is going on for a new cover design. As we got. Only one answer until the deadline, we moved it further on, to give some more of you the chance to take part in it. The new designs will be presented in the bulletin and on the winter jamboree the members will have the chance to vote on it.
h. New Clubs: Flora Sweepers Elmshorn They dance on Tuesdays, level is mainstream. More information in the bulletin.
Pivot Babies Berlin RDC A round dance club that dances on Thursdays from 7:30 pm to 9:30 pm. Location is the Weiße Rose, same place as the Berlin Swinging Bears.
i. ECTA has reelected Dave Preskitt and his board. The new round dance coordinator is Don Casper.

TOP 1 Vorstandsberichte
PRESIDENT Post bitte ausdrücklich an Rainer Scheiblich schicken, falls an Beate Mittmann, kann es dauern, bis Rainer die Post in Händen hat, da er sich von Beate getrennt hat.
VICE-PRESIDENT Es gibt inzwischen Tänzer, die 208 Clubs besucht haben. Für diese wird ein neues Badge entworfen und am Winter Jamboree ausgegeben. Die Badges für 208 und 104 Clubs werden in Zukunft zum Grand March aufgerufen.
Die Friendship Cards sind am Jamboree bei Lothar & Uschi Weidich kostenlos zu erhalten und nicht bei Evi.

TREASURER Die Nachzahlung für 1989 ist noch von 77 Clubs zu entrichten. Bitte deutlich am Anfang auf die Überweisung den Club schreiben, da einige wieder nicht zuzuordnen waren, ansonsten wird das Geld als Spende angesehen.
Das Kassenbuch wurde am 31. Juli abgeschlossen. Auf dem Bankkonto waren DM 3335,52, Bargeld waren DM 700,59 also insgesamt DM 4036,11 vorhanden. Mit dem heutigen Tag (Datum s.o.) sind auf dem Konto DM 2937,35 und DM 920,59 Bargeld, insgesamt DM 3857,94. Außenstände sind DM 8670,70 für die Halle in Sneek. Nach Rückgabe der Außenstände hatten wir dann DM 12528,64 zuzüglich der 77 Clubs, die noch bezahlen müssen DM 50, also DM 3850,-, ergibt eine Summe von 16378,64 als Kassenbestand. Jürgen bittet um Zahlung, denn im Januar '90 erwarten wir Zahlungen von mehr als DM 25.000. Durch die Urlaubszeit, sowohl des Kassierers, wie auch der Kassenprüfer, ist die Kassenprüfung auf einen Termin nach dem Jamboree verschoben und wird im Bulletin veröffentlicht.
TOP 3 Satzungsänderungen
Bylaws Teil 2 § 7 Programm Geänderter Text: Auf Jamborees und dem FALL ROUND UP werden Caller und Cuer vom gastgebenden Verein ausgewählt.
Die Änderung ist angenommen.
Bylaws Teil 7 § 5 Subscriber Membership Streichung der Geldbeträge, damit in Zukunft nicht jedes Mal bei einer Änderung die Satzung geändert werden muss. Die Änderung ist angenommen.
Bylaws Teil 7 § 2 Reguläre Mitgliedschaft Neuer Text: Der Jahresbeitrag für reguläre volle Mitgliedervereine setzt sich aus vier Teilen, Verwaltungsanteil, Versicherung, GEMA, und Bulletinabo zusammen. Vereine die nach dem ersten Juli eines Jahres in den Verband aufgenommen werden zahlen einen reduzierten Jahresbeitrag bestehend aus GEMA Gebühren und Versicherung sowie jeweils 50% des Bulletin und der Verwaltungskosten. Die Änderung ist angenommen.
TOP 4
Parallel zu einer genehmigten Veranstaltung der Erlanger Rebels veranstalten zwei Clubs zusammen mit einem Caller am gleichen Tag in der München-Augsburger Gegend einen Special, den sie per Flyer ankündigen und über den sie sich nicht mit den Erlanger Rebels abgestimmt haben. Dieser Tanz ist nicht über ein Gema-Formular angemeldet, was allerdings das Problem der Veranstalter ist. Vielmehr handelt es sich aufgrund einer Entfernung von nur km 140 um eine Missachtung der von der EAASDC aufgestellten 200 km-Regelung. Es stellt sich die Frage, wie in einem solchen Fall zu handeln ist. Der Vorstand der EAASDC bzw. der ECTA werden sich mit den Clubs Bavarian Stompers und Phantom Promenaders und dem Caller Dirk Loomans in Verbindung setzen und versuchen, dass diese die Veranstaltung verschieben. Sollte dies nicht möglich sein, so steht zur Zeit nach unserer Satzung nur der Ausschluss der Clubs zur Verfügung. Diese haben dann die Möglichkeit sich zum nächsten Jamboree wieder anzumelden. Aus der Mitgliedschaft und dem Board kommt der Vorschlag, es sei doch wirksamer für ein Jahr die GEMA Abdeckung zu sperren. Es wird der Antrag gestellt mit den Clubs zuerst zu sprechen und parallel eine Satzungsänderung zum Ausschluss aus der GEMA Abdeckung, einschließlich der Clubabende, vorzubereiten. Die Satzungsänderung kann frühestens zum Winter Jamboree beschlossen werden. Durch Abstimmung ist dieser Antrag angenommen.
TOP 5 Wahlen
Als einziger Kandidat stellt sich Rainer Scheiblich mit seinem Board zur Wahl.
Es wird der Antrag zu einer offenen Wahl gestellt.
Abstimmung: Bei zwei Gegenstimmen muss schriftlich abgestimmt werden.
85 Stimmzettel wurden abgegeben, davon sind 4 Enthaltungen, 15 Nein-Stimmen und 66 Ja-Stimmen. Damit ist Rainer mit seinem Board für eine weitere Legislaturperiode gewählt.
TOP 6 Jamboree Bits
Das Spring Jamboree im kommenden Jahr ist noch zu vergeben. Einer der Clubs, die zu diesem Zeitpunkt ein Special durchführen, könnte sich überlegen, ob es möglich ist, mit einer größeren Halle ein Jamboree durchzuführen, ohne dass er den Status eines Charter Dance verliert.
Für den Sommer 1993 bewirbt sich Antwerpen. In diesem Jahr wird die Stadt zur europäischen Kulturhauptstadt und der Anlag ist eigentlich Grund genug. Im Augenblick gibt es noch keine Anhaltspunkte zu Halle, Catering etc. Diese Angaben sollten außerdem schriftlich eingereicht werden. Es wird der Antrag gestellt, dass der sich bewerbende Club aus Antwerpen bis zum Winter eine Option erhält. Danach, sollte er keine Vorschläge vorgestellt haben, wird das Jamboree frei für andere.
Ergebnis der Abstimmung: Dem Club aus Antwerpen bleibt das Sommer Jamboree 1993 reserviert bis zum Winter.
TOP 7 Verschiedenes
a. Die Mitglieder der EAASDC möchten Informationen über die Square Dance Benefit Organisation. Die Veranstaltungen finden zu Zeitpunkten und an Orten statt, wo schon andere Specials genehmigt sind. Die Ziele dieser Organisation sind nicht bekannt. Clubs aus dem Frankfurter Raum haben dem Präsidenten der Organisation auf einen Brief geantwortet, den er angeblich nicht bekommen hat. Er hat allerdings von der angekündigten Veranstaltung Abstand genommen. Die gleichen Probleme haben die holländischen Clubs mit der Benefit Square Dance Organisation. Man sollte die Hintergrunde und Ziele durchleuchten.
b. Gema Anmeldungen sollten wirklich auf den Formularen eingereicht werden und nicht auf fliegenden Zetteln, denn diese gehen verloren und die Clubs beschweren sich dann, wenn der Tanz nicht angemeldet ist.
c. Es wird der Antrag gestellt, zur Mitgliederversammlung Delegierte zu entsenden, die für ihren Club sprechen. Andere Mitglieder dürfen auch an den Versammlungen teilnehmen, haben aber kein Recht sich zu Wort zu melden. Eine Trennung sollte optisch erkennbar sein. Die Tagesordnung für die Mitgliederversammlung sollte zwei Monate vorher im Bulletin abgedruckt werden, damit sie in den Clubs mit den Delegierten besprochen werden kann.
Das alles soll einer Vereinfachung der Mitgliederversammlung dienen.
Die Agenda der Mitgliederversammlung kann nicht zwei Monate vorher veröffentlicht werden, da oft Jamborees im zwei Monats Abstand veranstaltet werden.
Die Idee ist gut, aber es wird schwer sein sie zu verwirklichen. Abstimmung zu diesem Vorschlag: der Vorschlag wird abgelehnt. Allerdings sind zu diesem Thema ähnliche Ideen und Vorschlage willkommen und vielleicht kann man bei einer größeren Auswahl eine andere akzeptable Lösung finden.
d. Zum Thema e.V. gibt es von Seiten des Boards nichts Neues. Der Vertreter aus den Niederlanden gibt zu überlegen, ob es nicht möglich ist, die EAASDC als Verein bei der holländischen Industrie- und Handelskammer für 60 Gulden registrieren zu lassen.
Man sollte vielleicht zu diesem Thema ein Komitee ins Leben rufen, um die Sache von einigen Seiten zu ventilieren und voranzutreiben.
e. Die Ecktermine, also plus minus eine Woche, für die Jamborees, sollen auf dem Winter Jamboree festgelegt werden und werden vorher nochmals im Bulletin vorgestellt.
f. Der Beitrag der Vollmitglieder setzt sich wie folgt zusammen: GEMA DM 60.- Versicherung DM 50.- Verwaltung DM 30.- Bulletin DM 30.-. Der gleiche Beitrag gilt für Subscriber, deren Mitgliedschaft auf ein Jahr begrenzt ist. Für Clubs, die nach dem 1. Juli des Jahres Vollmitglied geworden sind reduzieren sich die Verwaltungsgebühr und das Bulletin um 50%, das heißt nach dem 1. Juli beträgt der Beitrag statt DM 170.- nur noch DM 140.-.
g. Es ist ein Wettbewerb für das Bulletin-Cover ausgeschrieben und da bis dato nur ein Neuvorschlag eingegangen war, ist die Frist verlängert worden. Die eingegangenen Vorschläge werden im Bulletin vorgestellt und stehen zum Winter Jamboree der Mitgliedschaft zur Abstimmung zur Verfügung.
h. Neue Clubs: Flora Sweepers Elmshorn: tanzen am Dienstag, Level: MS Weiteres bitte dem Bulletin entnehmen. Durch Abstimmung einstimmig angenommen. Pivot Babies Berlin RDC: tanzen am Donnerstag von 19:30 - 21:30 Tanzplatz ist die Weiße Rose bei den Berlin Swinging Bears. Der Round Dance Club ist in die EAASDC aufgenommen.
i. Bei der Wahl von ECTA ist Dave Preskitt mit seinem Board neu gewählt worden. Neuer Round-Dance Coordinator ist Don Casper.
