TOP I Board reports
President: Der Sound Coordinator ist den Clubs bei der Beschallung der Halle behilflich. Er stellt die Geräte der ECTA zur Verfügung und kümmert sich um eine eventuelle Ergänzung, falls diese nicht ausreichend sind. Er ist allerdings nicht für den Transport verantwortlich, für den der Club zuständig ist. Die ECTA bittet, sich auf jeden Fall für die Beschallung der Hallen mit dem Sound Coordinator in Verbindung zu setzen, damit ein möglichst optimales Ergebnis bei der Beschallung erreicht werden kann.
Secretary: Ein Teil der Korrespondenz, die wir erhalten, ist in einem geschäftsmäßigen Stil abgefasst, den wir so nicht erwidern wollen. Unsere Arbeit für die EAASDC erfolgt neben unseren Berufen; es ist durchaus normal, daß man für zwei bis vier Wochen in Urlaub ist, daß auch schon einmal etwas liegen bleibt bzw. vergessen wird, und so sollte ein jeder überlegen, wie er vielleicht auf eine freundschaftlichere Art und Weise schriftlich auf uns zukommen kann.
Treasurer: Der vorläufige Abschluß für 1990 liegt vor. Es kann sich hier leider nur um einen vorläufigen Abschluß handeln, da Clubs nicht auf Rechnungen reagieren oder der Meinung sind, sie haben schon bezahlt. Oft liegt die Überweisung vor, aber man kann sie nicht zuordnen. So wäre es hilfreich, wenn die Clubs, die eine Rechnung erhalten entweder bezahlen würden, oder aber kundtun, daß sie bereits bezahlt haben.
Die Gewinn- und Verlustrechnung für den Zeitraum 1.1.1990 bis 31.12.1990 sieht wie folgt aus:
Aufwand für die EAASDC DM 39.630,87
Ertrag DM 47.881,97
Überschuß DM 8.251,10
Der Überschuß ist durch die Jamborees entstanden und soll wie folgt angelegt werden:
- Jamboree-Verlustabsicherung
- Druck der Constitution
- Werbemappe
- Anhebung der Beiträge zur Versicherung
- Anhebung der GEMA-Gebühren.
Editor: Am Bulletin sollen wieder verstärkt die Staffmembers mitwirken. Diese möchten sich bitte bei Ronny Unger melden.
TOP II Minutes
Über die Minutes des Summer-Jamboree und den Treasurers Report kann erst beim Winter-Jamboree abgestimmt werden, da diese noch nicht veröffentlicht sind.
TOP III Jamboree-Vergabe
Am letzten Jamboree wurde der Antrag gestellt, dem Präsidenten solle die Erlaubnis gegeben werden, über die Vergabe von Jamborees, unter Berücksichtigung regionaler Anforderungen, allein zu entscheiden. Hintergrund dieses Antrages ist, daß in den vergangenen Jahren die Mitgliedschaft häufiger, bei Bewerbern aus dem Norden und der Mitte Deutschlands, sich für letztere entschieden hat. Andere Regionen kamen zu kurz. Um eben dieses zu vermeiden, wurde dieser Antrag gestellt.
Es wäre sicherlich gut, wenn man eine Statistik hätte, anhand derer man feststellen kann, wie stark Jamborees in den einzelnen Regionen besucht sind. Das könnte ebenfalls eine Hilfe sein zur Jamboree-Vergabe. Wird z. B. ein Jamboree in eine "entfernte" Gegend vergeben und man kann absehen, daß dort niemand hinfährt, dann ist diese Vergabe eigentlich sinnlos. Sollte diesem Antrag zugestimmt werden, wird auch der Präsident solche Überlegungen mit berücksichtigen müssen, denn sollte er ein Jamboree z.B. nach England vergeben, wissend, daß wenige Clubs bzw. Tänzer dorthin fahren, wäre diese Entscheidung nicht unbedingt richtig.
Der Antrag wird dahingehend erweitert, daß nicht der Präsident allein sondern das Board über die Vergabe von Jamborees entscheiden soll.
Es wird darauf hingewiesen, daß auch in anderen Regionen ein ausreichendes Potential an Tänzern vorhanden ist, um diese Jamborees zu bestücken, auch wenn nicht so viele Tänzer anreisen würden.
Jamborees können für manche Tänzer immer weit weg sein. Die große Anzahl der Tänzer sollte hier kein Maßstab sein, denn weniger Tänzer können durchaus auch in der Lage sein ein erfolgreiches, stimmungsvolles Jamboree-Wochenende zu gestalten, was wiederum für eine regionale Vergabe spricht.
Bei der Abstimmung über den Antrag, die Vergabe der Jamborees in die Verantwortung des Boards zu übergeben stimmt die Mehrheit bei vier Enthaltungen für die Vergabe durch das Board.
TOP IV Vorschuß Jamboree '93 in Antwerpen
Nach dem letzten Jamboree war der Präsident ermächtigt worden, eventuell einen Vorschuß für die Halle für das Jamboree '93 in Antwerpen
auszugeben. Nach Rücksprache mit dem Hallenbesitzer wird der Vorschuß erst '92 benötigt, was unserer Regelung ein Jahr vor dem Jamboree entspricht. Der Präsident mußte also von seiner Ermächtigung keinen Gebrauch machen.
TOP V Jamboree Bids
Offen sind noch folgende Jamboree:
Winter '92, Winter '93, Spring '94, ab Winter '94 bis zum Jahr 2000 sind alle Jamborees noch offen.
Es werden die Jamborees in Hamburg und Lampertheim vorgestellt. Die Halle in Hamburg bietet Platz für 1800 Tänzer. Übernachtungen sind in einer Jugendherberge möglich, in Vierbettzimmern zu einem Preis von DM 30.- pro Nacht und Person inkl. Frühstück und Bettwäsche. In der Nähe der Halle gibt es Abstellmöglichkeiten für Wohnwagen und -mobile, allerdings müssen die Camper die für Hamburg ausgewiesenen Campingplätze benutzen.
Zu Lampertheim ist nur zu sagen, daß sowohl die Geschwindigkeitsbegrenzungen wie auch die Parkverbote zu beachten sind, da die Lampertheimer Polizei sehr wachsam ist.
Für das Spring Jamboree '94 bewirbt sich erneut Ketsch mit der bereits bekannten Halle. Eine bessere Lösung für die zweite Halle kann sich bis dahin vielleicht ergeben.
Nach der Abstimmung ist das Spring Jamboree '94 mit zwei Gegenstimmen und drei Enthaltungen an die Spargel Spinners vergeben.
Für das Sommer-Jamboree '97 bewerben sich die Diamond Dancers aus Antwerpen. Sie haben die Unterlagen noch nicht vervollständigt, sodaß es sich um eine Option handelt. Die Option ist mit zwei Gegenstimmen und drei Enthaltungen angenommen.
Für das Sommer-Jamboree 2000 bewerben sich die Road Runners in München. Halle und alles weitere wie im Sommer '90.
Mit einer Gegenstimme und drei Enthaltungen ist das Sommer-Jamboree 2000 an die Munich Road Runners vergeben.
TOP VI Neue Clubs
Racing Birds: Tanzort: Kassel, Schrebergarten-Gaststätte, Eisenschmiede 17, Tanztag: Freitags, Uhrzeit: 19:30-21:30, Level: MS, Caller: Peter Lecke.
Dieser Club wurde nach Abstimmung in die EAASDC aufgenommen.
TOP VII Various
a. Vorschlag: Um die Abwicklung der Beitragszahlung einfacher zu gestalten, könnte man eine Einzugsermächtigung anbieten. Als weiteren Anreiz für die Clubs, dieses Angebot auch wahrzunehmen, könnte man den Beitrag ein wenig reduzieren und für die, die auf den Jamborees zahlen den Beitrag so belassen.
Clubs die immer pünktlich auf dem Fall Round Up bezahlen können sich durch eine solche Regelung bestraft fühlen. Stattdessen sollten nicht zahlenden Clubs mit einer Strafe von DM 10.- belegt werden.
Wie soll dieses Einzugssystem für die ausländischen Clubs funktionieren? Die Regelung für die ausländischen Clubs muß erst noch durchdacht werden. Hier sind vor allem erst einmal die deutschen Clubs angesprochen.
Man kann allerdings auch festlegen, daß Clubs, die nicht bis zum Ende des Jahres den Beitrag für das kommende Jahr bezahlt haben mit einer Mahngebühr bestraft werden. Ein weiterer Schritt könnte der Ausschluß aus der EAASDC sein.
Auch die Regelung per Dauerauftrag ist möglich. Soweit zu dieser kurzen Anregung, die am Winter-Jamboree wieder aufgegriffen wird und zu der eine Lösung gefunden werden soll.
b. Eine Anregung an alle Clubs bitte darauf zu achten, daß die Clubangaben im Bulletin stimmen und auch die Kontaktadressen und Telefonnummern richtig sind, denn es ist für travelnde Tänzer sehr unangenehm, wenn sie viel telefonieren müssen und immer noch keine richtige Auskunft haben.

TOP I Board reports
President: The Sound Coordinator is responsible for the sound in the halls. He provides you with the ECTA equipment and with more if this is not sufficient. He is not responsible for the transportation which is duty of the club. ECTA asks to get always in touch with the sound coordiantor for sounding problems as only with his help you can reach the best possible result.
Secretary: A large part of the letters we receive are written in a business-like stile, very polemic and unfriendly. We do not want to answer the same way. Our business in EAASDC take large parts of our free time. So it is not unusual if we are on vacation for two or even four weeks, or that we do not have the time to take care of some problems that need to be solved. It is also a human reaction if here and there we forget something. As friendship is one of our big goals in square-dance, we should think about a friendly way of approaching each other even if it is only a letter.
Treasurer: The preliminary balance for the year 1990 can be presented. Unfortunately it is only preliminary, as some clubs still have to pay their dues. Often clubs do not react on bills we send them or they are of the opinion, they paid allready. Sometimes we have receipts of payments that we cannot attribute to a club. It would be real helpfull if clubs receiving a bill would react in one way or the other.
The profit and loss account for the time between the 1st of january 1990 and the 31st of december 1990 is as follows:
Expenses of EAASDC DM 39.630,87
Returns DM 47.881,97
Profit DM 8.251,10
The profit is caused by our jamborees and will be used for:
- security for jamboree-losses
- print of the Constitution
- publicity folder
- increase of dues for the insurance (higher insurance tax)
- increase of GEMA-dues.
Editor: The staff members should take over some of the work of the bulletin, as we did some years ago. They please should get in touch with Ronny Unger.
TOP II Minutes
We will vote on the minutes of the Summer Jamboree and the treasurers report on the Winter Jamboree, as they have not jet been published in the bulletin.
TOP III Placement of jamborees
On the last jamboree a proposal was made to give the president the allowance to take decisions concerning the placement of jamborees under consideration of regional requirements on his own. The background of this proposal is to avoid the experience we made in the last years, where the membership could decide between jamboree bids from clubs in northern Germany or clubs located more in middle and southern areas. Preference was mostly given to middle and southern regions.
It would surely be a help for jamboree placement to have a statistik telling us in which areas jamborees are visited most. If you give a jamboree in a "far away" area knowing that only few dancers would go there, this placement would not make any sense. If this proposal will be approved, also the president has to consider these arguments. Would he give a jamboree to England knowing only few dancers would travel there, the decision would not be the best.
An amendment is made that not only the president but the board should decide about placements of jamborees.
The point is made that other areas also have clubs and sufficient dancers to fill jamborees even if not so many dancers are travelling.
For some dancers jamborees are always far away. A large number of dancers does not tell anything about the quality of a jamboree. Few dancers can have a real good and fun dancing week-end, which is also an argument for regional placement.
The membership took the decision by votes with four abstentions to give the responsibility for placing jamborees to the board.
TOP IV Prepayment for the jamboree '93 in Antwerp
On the last jamboree the president was authorized by the membership to give, if necessary, a prepayment for the hall in Antwerp two years prior the event. After having spoken to the owner of the hall a prepayment is necessary in '92 which is according to our rules "prepayments for halls one year before". The president did not make any use on the authorization given to him.
TOP V Jamboree Bids
Still open are following jamborees:
Winter '92, Winter '93, Spring '94, and from Winter '94 all until the year 2000.
The jamborees in Hamburg and Lampertheim are presented. The hall in Hamburg gives room to 1800 dancers. Overnight is possible in a youth hostel in rooms for four at a price of DM 30.- per person and night including breakfast and sheets. Close to the hall is room for campers. Tents have to use the official camping grounds.
For Lampertheim you need to be carefull with the speed limit and the places where you park the car as the police is happy about the money they can charge us.
Ketsch applies again for the Spring Jamboree '94 with the same hall. They still try to find a better solution for the second hall. By votes the Spring Jamboree '94 is given to the Spargel Spinners with two opposed and three abstentions.
For the Summer-Jamboree '97 apply the Diamond Dancers from Antwerp. Their papers are not complete, so they would like an option. The option is accepted with two opposed and three abstentions.
For the Summer-Jamboree 2000 apply the Road Runners Munich. Hall and everything else as in the summer '90.
With one opposed and three abstentions the Summer Jamboree 2000 is given to the Munich Road Runners.
TOP VI New Clubs
Racing Birds: Location: Kassel, Schrebergarten-Gaststätte, Eisenschmiede 17, Day: Friday, Time: 19:30-21:30, Level: MS, Caller: Peter Lecke.
This club has been accepted by votes as member of EAASDC.
TOP VII Various
a. Proposal: To make the payment of the club dues easier for all parts we suggest a so called "Einzugsermächtigung" where the club authorizes the treasurer to call the money from the account of the club. To make this more interesting we could also suggest a reduction for clubs using this offer. For those paying on jamborees it would stay as it is.
Clubs paying on time at jamborees might have the feeling of beeing punished. Not paying clubs could be punished with DM 10.- more to pay. This is only an example for a discussion during the Winter Jamboree.
How should this system work with our foreign clubs? We still have to think about that. This type of payment is especially for our german member clubs.
We could also fix a date at the end of the year where all the clubs that did not pay will be punished with an extra ammount. A further step can be the expulsion of the club from EAASDC. Also an automatic transfer is possible. So far some ideas to be discussed during the Winter Jamboree.
b. All clubs should pay more attention to their adresses and phone numbers printed in the Bulletin. Very often changes are not registered and travelling with wrong addresses and phone numbers can be very difficult and disappointing.
