Association of American Square Dancing Clubs e.V. am 12. März 2005 auf der Mitgliederversammlung in Mainz

President Franz Schwaiger opens the Membership Meeting at 9.40 a.m. and welcomes those present.

The invitation to this meeting, with the agenda, was published in the February 2004 issue of the Bulletin and duly sent to all members.

According to the Statutes, the meeting constitutes a quorum. The signed list is attached as an annex to the original minutes.

Board Members present:

Präsident Franz Schwaiger eröffnet die Mitgliederversammlung um 9.40 Uhr und begrüßt die Anwesenden.

Die Einladung mit der Tagesordnung wurde in der Ausgabe des Bulletins vom Februar 2005 veröffentlicht und ist somit den Mitgliedern ordnungsgemäß zugegangen.

Entsprechend der Satzung ist die Versammlung hiermit beschlussfähig. Die Unterschriftenliste ist dem Original-Protokoll als Anlage beigefügt.

Anwesende Mitglieder des Vorstandes:

1. Board Report

Franz Schwaiger announced that the board report had already been published in part in the February 2005 edition of the Bulletin, and would be supplemented by the board members as necessary.

Franz welcomed ECTA guests Kenny Reese and Bryan Gill.

He announced that the following seminars would take place: a seminar for club boards given by Bryan Gill and Rolf Möller on the subject of cooperation between the club board and leader, followed by a seminar presented by Harry Heinz on the second part of the analysis of the dancer questionnaire. Franz announced that he had received a number of questions about whether guest dancers at club evenings had to be members of another club. There are some clubs where the boards will tolerate dancers without badges. In fact, the decision whether or not guests without club badges can dance at a club evening is up to each respective board. His suggestion is that those who want to dance should have a badge.

Editor Klaus Kietzmann announced briefly that another special edition of the Bulletin for new dancers was planned, and that clubs could hand these out at their Graduations. They cost 2 Euros each. It will be ready by mid April, when it will be mailed out. Please send your orders to Katharina Thurau, Bulletin Administrator, so that we can ascertain how many copies to print.

Gerhard Puchhammer announced that if the Austrian clubs have any problems, they can get in touch with him.

The other board members had nothing extra to report.

2. Roll Call

It was determined that 118 voting members were present. This constitutes about 20 % of all registered clubs.

The list of clubs represented is attached as an annex to the original minutes.

3. Approval of minutes of the membership meeting at the Fall Round Up in Osterholz-Scharmbeck

The minutes were published in the November issue of the Bulletin.

The minutes were accepted with
4 abstentions.

4. Admission of new members

The following have been newly accepted since the Fall Round Up 2004:

TOP 1: Bericht des Vorstands

Franz Schwaiger teilt mit, dass der Board-Report in Teilen bereits in der Bulletin-Ausgabe vom Februar 2005 veröffentlicht wurde und jetzt gegebenenfalls von den Board-Mitgliedern ergänzt wird.

Franz begrüßt als Gäste Kenny Reese und Bryan Gill von der ECTA.

Er weist auf die stattfindenden Seminare hin: Ein Seminar für Clubvorstände von Bryan Gill und Rolf Möller über das Thema Zusammenarbeit von Clubvorstand und Leader und das anschließende Seminar von Harry Heinz über den zweiten Teil der Auswertung der Tänzerbefragung.

Franz teilt mit, dass er eine Reihe von Anfragen erhalten habe, die sich mit der Frage beschäftigen, ob bei Clubabenden Gasttänzer und -tänzerinnen Mitglieder eines anderen Clubs sein müssen. Es gäbe Clubvorstände, die Tänzer ohne Bagde tolerieren würden bzw. einen Obulus für die Teilnahme an einem Clubabend verlangten. Franz teilt weiter mit, dass die Entscheidung, ob Gäste ohne Clubbadge mittanzen können beim jeweiligen Clubvorstand liege. Er gibt die Anregung, dass Gäste die mittanzen wollen, ein Badge haben sollten.

Editor Klaus Kietzmann weist kurz darauf hin, dass wieder eine Sonderausgabe des Bulletins für frisch graduierte Tänzer geplant ist und dass die Clubs diese Ausgabe anlässlich ihrer Graduation verteilen können. Der Preis beträgt 2 Euro. Die Ausgabe ist Mitte April fertig und kann dann auch versandt werden. Die Bestellungen bitte an Katharina Thurau, Bulletin Administrator, damit festgestellt werden kann, wie viele Exemplare benötigt werden. 

Gerhard Puchhammer gibt bekannt, dass sich die österreichischen Clubs bei Problemem an ihn wenden könnten.

Die anderen Board-Mitglieder haben keine Ergänzungen zum Board-Report

TOP 2: Feststellung der Anwesenheit

Es wird festgestellt, dass 110 stimmberechtigte Mitglieder anwesend sind. Dies entspricht ca. 20 % aller eingetragenen Clubs.

Die Liste der vertretenen Clubs ist dem Original-Protokoll als Anlage beigefügt.

TOP 3: Genehmigung des Protokolls der Mitgliederversammlung vom FRU 2004 in Osterholz-Scharmbeck

Das Protokoll wurde in der November-Ausgabe 2004 des Bulletins veröffentlicht.

Das Protokoll wird ohne Gegenstimmen bei 4 Enthaltungen mehrheitlich angenommen.

TOP 4: Neuaufnahmen

Seit dem FRU 2004 wurden neu aufgenommen:

Fire Dancer SDC (Hoopte)

Honey Bears (Berlin)

Vulture Valley SDC (Geierstal- Fernsdorf)

Bavarian Starlights (Ensdorf)

Broom Bear Dancer (Kamp- Lintfort)

River Ems Dancer (Lingen)

The data for these clubs was published issue of the Bulletins. There were no questions or objections.

The board has agreed to accept these clubs as members of EAASDC.

5. Jamborees - Dates, options and bids.

Spring Jamboree 2005:

Axel Behrens from the Kuntry Kuzins announced that everything is running to plan, and so far 1,200 dancers have registered. Any requests and helpful suggestions will be most welcome at the Information booth.

50 Years EAASDC:

Bernd Körber from the  Archway Happy Hoppers announced that unfortunately the flyer is not yet ready, as the printer is out of commission. But there are some handouts and information about the region available at the information booth in the shopping area.

The price of admission is 10 Euros at pre-registration, and 12 at the door.

Spring Jamboree 2006:

The Spring Jamboree will take place in the ASV Hall in Dachau. Hosts are the Tamara Twirlers. Renate Brandl announced that a one-hall concept is planned for the Saturday evening programme. Large quantities of flyers are available.

ECTA- Student Jamboree 2006:

2007:

ECTA Student Jamboree March 2007
Hanau Golden Squares

There are no bids to date for the Spring Jamboree or Fall Round Up in 2007.

In 2008 there will be another European Convention in Germany. We are still looking for volunteer clubs to host this event.

Franz asked clubs to consider whether they would be able to host a Jamboree or FRU, especially with two or three halls. He promised the help and support of EAASDSC.

6: AOB

6.1 Club representatives from the Dancing Rebels and the Bridge House Twirlers would like to return some travel banners. They will be left at the Information Booth.

6.2 Lothar Weidich from Weidich´s Badge and Record Service needs the original Friendship Books in order to distribute Friendship dangles. Written confirmation of signatures from the club president, without the Friendship Book, will not be accepted.

6.3 Reinhard Gerndt from the Plus Connection announced that the auditor has raised his fees. The audit of about 1% of all clubs was rejected, as money was missing from the club treasuries. An article addressing the responsibilities of the club treasurer will be published in the December Bulletin.

6.4 Kenny Reese, ECTA president and chairman for the MS programme, announced that figures will not suddenly be removed from the MS programme. Callers want to keep the MS programme as it is.

Kenny announced that all club boards which are able to share their opinions with the club caller should let them know that they wish to keep the MS programme as it is.

Kenny requested that all club boards should work together with their club callers to avoid rushing dancers too quickly through the programme.

There was no further new business.

Die Informationen zu diesen Clubs wurden in den Ausgaben des Bulletins veröffentlicht. Es gab keine Fragen und Bedenken.

Der Vorstand hat beschlossen, diese Clubs als reguläre Mitglieder in die EAASDC aufzunehmen.

TOP 5: Jamborees - Termine, Optionen und Bewerbungen

Spring Jamboree 2005:

Axel Behrens von den Kuntry Kuzins teilt mit, dass die Veranstaltung gut laufe und bisher 1.200 Tänzer und Tänzerinnen registriert wurden. Wünsche und Anregungen werden jederzeit an der Information entgegengenommen.

50 Years EAASDC:

Bernd Körber von den Archway Happy Hoppers gibt an, dass leider noch keine Flyer vorliegen, da die Druckmaschine ausgefallen sei. Es gebe aber Handzettel und Informationen über die Region um Bergheim auf einem Info-Stand im Shop-Bereich.

Die Veranstaltung koste bei Voranmeldung 10 Euro und an der Tageskasse 12 Euro.

Spring Jamboree 2006:

Das Spring Jamboree 2006 findet in den ASV- Hallen in Dachau statt. Veranstalter sind die Tamara Twirlers München. Renate Brandl teilt mit, dass für Samstag- Abend ein Ein-Hallen- Konzept geplant ist. Flyer liegen in ausreichender Anzahl aus.

Für 2007 liegen noch keine Bewerbungen für das Spring Jamboree und das FRU vor.

2008 wird wieder eine European Convention in Deutschland stattfinden. Es werden noch Clubs gesucht, die bereit sind, diese Veranstaltung auszurichten.

Franz bittet die Clubs, zu überlegen, ob sie nicht ein Jamboree oder FRU ausrichten können, auch mit zwei oder drei Hallen. Er sagt Hilfe und Unterstützung durch die EAASDC zu.

TOP 6: Verschiedenes

6.1 Clubvertreter der Dancing Rebels und der Bridge House Twirlers möchten gerne Travelbanner zurückgeben. Die Banner werden an der Information hinterlegt.

6.2 Lothar Weidich von Weidich´s Badge und Record Service benötigt zur Vergabe der Frienship-Dangles die Original Friend-ship-Books. Schreiben von Clubpräsidenten mit einer Bestätigung der Unterschriften, ohne Friedship-Book werden nicht akzeptiert.

6.3 Reinhard Gerndt von der Plus Connec-tion weist darauf hin, dass die Kassenprüfer eine hohe Verantwortung haben. Bei ca.
1 % aller Clubs werden die Kassenprüfungen beanstandet, weil Gelder in den Clubkasssen fehlen. Zur Verantwortung der Kassenprüfer wird in der Dezember-Ausgabe des Bulletins ein Artikel veröffentlicht.

6.4 Kenny Reese, Präsident der ECTA und Chairman für das MS-Programm gibt an, dass im Augenblick nicht damit zu rechnen sei, dass Figuren aus dem MS-Programm herausgenommen werden. Die Caller wollen das MS-Programm behalten.

Kenny teilt mit, dass alle Clubvorstände die Möglichkeit haben, über die Clubcaller ihre Meinung zu äußern und mitteilen können, dass sie das jetzige MS-Programm behalten wollen. 

Kenny bittet alle Clubvorstände in Zusammenarbeit mit den Callern darauf zu achten, dass die Tänzer und Tänzerinnen nicht so schnell durch die Programme jagen.

Weitere Wortmeldungen liegen nicht vor.

Auf Antrag aus der Mitgliederversammlung beendet Franz Schwaiger um 10:50 Uhr die Sitzung.
