Before, during and after X-Days = 50 YEARS EAASDC

Vor, während und nach den X-Tagen = 50 YEARS EAASDC

The planning phase

Six years ago we started planning the X-

days for the 50th anniversary of the

EAASDC. During this time there were a

lot of changes: a change of local govern-

ment, a change of headmasters, a change

of board members and again and again

new contact persons and new people in

charge as well as a complete modification

of the town hall = MEDIO. But we felt

that we were prepared very well for this

event, as we have hosted many festival

dances at various dancing locations, so that

we knew what to expect at least from a

scaled down version. Originally, the festival

dates were at the end of school holidays,

which meant plenty of time to set up the

stages and the decorations in each hall. But

suddenly the school holiday dates were

altered and our week of preparation was

shortened to a half day only. We took it in

stride with our own sense of humour,

which is rather characteristic for people in

this area: “it will happen as the occasion

requires it to” or “it has always turned out

all right” and therefore we wanted to make

the most of this new situation. In particu-

lar, as we were assured that we would get

any necessary assistance from the city

council. Catering and First Aid Service was

to be provided by the Red Cross, who

planned to set up tents and a field kitchen,

as agreed upon two years prior to the

event. A Red Cross member was responsi-

ble for this part and reliably so, as he had

accompanied quite a number of weekend

festivals for our club already.

Die Planungsphase

Seit 6 Jahren geplant rasen die X-Tage für

die 50-Jahrfeier des EASSDC heran. In der

Zwischenzeit hat sich vieles verändert:

Wechsel der vor Ort Regierenden, von

Schulleitern, von Vorstandsmitgliedern,

immer wieder neue Ansprechpartner und

Verantwortliche, der komplette Um- und

Neubau einer Stadthalle = MEDIO. Aber

wir fühlen uns dennoch bestens gerüstet,

haben wir doch schon jede Menge Specials

in den verschiedensten Hallen problemlos

veranstaltet, so dass uns im Miniformat

klar ist, was uns erwartet. Ursprünglich

war der Veranstaltungstermin identisch mit

dem Ende der Schulferien, was uns unend-

lich viel Zeit für die Herrichtung der Hal-

len bedeutet hätte, aber dann werden die

Sommerferien kurzfristig geändert und

unsere Woche der Hallenvorbereitung re-

duziert sich auf einen halben Tag. Mit

rheinischem Humor: „Et küt wie et küt“

und „Et het noch immer jut jegangen“

werden wir diese veränderte Situation

schon meistern, zumal uns immer wieder

volle Unterstützung von Seiten der Stadt

Bergheim versichert wird. Catering und

Sanitätsdienst mit Zelten und Gulaschka-

none etc. sind schon seit 2 Jahren geregelt

und in den Händen eines Rote-Kreuz-

Mannes, der schon viele andere Specials

begleitet hat.

10 Tage vorher

10 Tage vor den X-Tagen kommt dann die

erste Hiobsbotschaft verpackt in 4 winzi-

gen SMS: Es gibt weder Gulaschkanone

noch einen Sanitätsdienst. Unser verant-

wortlicher Koordinator ist unehrenhaft aus

dem Roten Kreuz geflogen und keiner hat

short text messages saying that nothing

was to be provided – no first aid people,

no field kitchen – nothing. Our responsi-

ble man had been fired in dishonour and

nobody from our club was aware of this.

The Red Cross people were still over-

worked because of the Pope’s visit and we

were told that they'd need to know 4

weeks in advance about an event like this.

Our only answer was that we planned the

details at least 24 months ago but now had

to face the fact that not many of the plans

could be accomplished. Friday evening and

a big relief for us: The First Aid people

will come. The cafeteria of the district par-

liament will open for us though the chef is

on vacation, but they will whip up some

good meals at reasonable prices. The other

catering service will try to offer a short

menu too. The scouts are coming with a

tipi and will provide a barbeque. The

school's Parents’ Association will provide

cake and coffee as well as breakfast in the

school’s assembly hall. To cater for all the

callers, cuers, prompters, instructors as

well as for VIPs we will invent an “Arch-

way Restaurant”. At least when it comes to

catering everything now looks fine to us.

As soon as school started again after the

summer break some headmasters in-

formed us that we could not enter the halls

at 11 o’clock as agreed upon, because they

could not allow any more cancellation of

classes. They could not take any responsi-

bility for further cancellations just because

of a dance festival. We do not have a Pope

amongst us to allow another few hours of

holidays. Because of the World Youth

Meeting and his visit to our area they had

decided to have an additional day off. Af-

ter long personal discussions we accom-

plished an agreement that if the weather

was nice, physical education classes would

take place outside and we could have the

vom Papst-Wochenende fix und alle – sa-

gen uns, sie hätten normalerweise einen

Vorlauf von 4 Wochen für eine solche

Veranstaltung. Wir können nur noch ver-

zweifelt dagegenhalten, dass wir eine Vor-

planung von 24 Monaten hatten und nun

vor dem NICHTS stehen. Freitags abends

kommt dann der erlösende Anruf: Es

kommen Sanitäter. Die Kreishaus-Kantine

wird involviert. Die Küchenchefin ist ei-

gentlich im Urlaub, aber sie wird es ma-

chen und mit Leihkräften schaffen eine

kleine Menükarte anzubieten. Der Caterer

wird versuchen, seine Angebote auszubrei-

ten. Die Pfadfinder kommen mit Tipi und

Würstchengrill, die Schulpflegschaft wird

in der Aula Kaffee, Kuchen und auch

Frühstück bereithalten. Für die Verpfle-

gung der Caller, Cuer, Prompter und In-

structor und der VIPs wird der Club im

„ARCHWAY RESTAURANT“ sorgen.

Jetzt sieht es schon wieder besser aus.

Kaum hat die Schule wieder begonnen,

teilen uns auf einmal diverse Schulleiter

mit, dass wir nicht wie vereinbart spätes-

tens um 11 Uhr in die Hallen können. Es

wäre so viel Unterricht ausgefallen im let-

zen Jahr, das könnten sie nicht verantwor-

ten, dass wegen einer Tanzveranstaltung

schon wieder Unterricht ausfällt. Wir sind

eben kein „Papst-Format“, wo einfach ein

Ferientag verordnet wird. Mit zähen Ein-

zelverhandlungen schaffen wir es, dass wir

es wetterabhängig machen, wie früh wir in

die Hallen können. Bei Sonnenschein wird

der Sport draußen stattfinden.

Fünf Tage vorher

Sonntags gehen wir noch mal gemein-

schaftlich alle Hallen ab und klären letzte

organisatorische Dinge. Die ersten Hin-

weis-Schilder werden schon angebracht

(nicht vorhersehend, dass die schon am

5 days before

On the Sunday before the event, we all got

together for a final inspection of the

premises and to assign tasks. The first di-

rection signs were put up in the city (we

did not expect to see them gone by Friday

already, as many of them were either taken

away or destroyed). Everything seemed to

be right on its way. The first American

guest dancers had already arrived and we

all were looking forward to starting on

Friday.

3 days before

On the Tuesday morning there was an-

other meeting in the Medio. I found my-

self surrounded by a number of town

council officials who tried to explain the

fire precaution regulations and assembly

rules to me, making clear that our pro-

gramme could not take place as planned.

New plans for seating arrangements had to

be drawn up and approved by the building

authority in a speeded up proceeding. The

tables were too large, which meant – not

enough space for a large number of after-

party participants. And then the same

question over and over again: Please, tell

us how many people you are expecting.

That was an answer we would like to have

had as well. But at that particular moment

no one could tell how many people would

turn up. The experts shook their heads

about this lack of knowledge. How could

someone plan an event without knowing

for how many people. Officially the Medio

is built for 1.000 people but suddenly the

idea that 1.000 people would be in the

building caused a kind of panic. A security

and body guard service is suddenly re-

quired which is responsible in the event of

Alles scheint gut zu laufen. Erste amerika-

nische Gäste sind schon in der Stadt und

alles fiebert dem Startschuss entgegen.

Drei Tage vorher

Dienstags morgens noch mal Meeting im

Medio. Ich sehe mich von einer Schar von

hochdotierten städtischen oder kreisbe-

hördlichen Damen und Herren umringt,

die mir mit Ausführungen über Gesetze

und Vorschriften über Brandschutz und

Versammlungsstätten klarmachen wollen,

das das, was wir machen wollen, eigentlich

so nicht zu machen ist. Bestuhlungspläne

müssen neu erstellt werden und vom Bau-

amt im Eilverfahren genehmigt werden.

Die Tische sind zu groß, d.h. kein ausrei-

chender Platz für viele Afterparty Teil-

nehmer. Und immer wieder dieselbe Frage:

„Sagen Sie uns doch bitte, wie viele Leute

kommen werden.“ Als ob wir das nicht

auch gerne wüssten. ABER das weiß zum

jetzigen Zeitpunkt wirklich noch keiner.

Die Damen und Herren schütteln ihre

sachverständigen Köpfe. Wie kann man

denn eine Veranstaltung planen, wenn man

nicht weiß, wie viele Teilnehmer es geben

wird. Das Medio ist zwar offiziell für 1.000

Leute konzipiert, aber auf einmal bricht

bei den Offiziellen so eine Art Panik aus,

die 1.000 Menschen könnten wirklich im

Hause sein. Es soll ein Security und Body-

guard Dienst organisiert werden, der im

Ernstfall die Rettungswege zeigt und frei-

hält. Ich fühle mich im falschen Film. Zum

Schluss Einigung: Man(n) traut uns zu,

dass wir als Club das organisieren können.

Schmalere Tische werden aus anderen Ver-

anstaltungshäusern ausgeliehen. Die

nächste Botschaft trifft mich zum Glück

sitzend: Sie bräuchten 4 Stunden zum

Aufbau der Tische und Stühle für die Af-

terparty. Ich fühle mich total ver....... Nach

emergency to show and keep free the

emergency exits. I got the distinct impres-

sion that I was the wrong person in the

wrong place at the wrong time. In the end

we agreed upon them trusting us as the

hosting club to handle any situation that

might arise. We would get smaller tables

from other places so this problem was

solved. The next news was awful. They

told me they would need at least 4 hours to

set up the tables and chairs in the hall for

the afterparty. After all these many meet-

ings and discussions now this! How were

we to organize an afterparty under such

circumstances. Other halls could not be

used for this purpose. For the umpteenth

time I assured them, that we were able to

help in setting up tables and chairs. They

did not believe me. But we certainly

proved that: not 4 hours but within 20

minutes everything was set up, and putting

things back was also not that big deal.

The X-days are there

Friday morning came and everybody was

ready to start. Everybody knew what to do

and where to be. Everybody had a list of

important phone numbers and names of

hall caretakers, most of them we had al-

ready talked to in advance many times. The

list turned out not to be worth the paper it

was written on: wrong names, wrong

numbers, closed halls, no responsible per-

sons anywhere. The city council people left

on a Friday at 12.30 h so from there we

could not expect any help or information.

Cleaning ladies suddenly were rather keen

on cleaning all floors fit to eat off them.

Basically, our already tight schedule and

organisation chart went to pot. The half

day of preparation was reduced to 2 or 3

hours. We had to seriously improvise now.

The storage room with all the stage parts

was closed by cleaning devils, for every

ren. Alle anderen Tanzhallen scheiden aus

für die Afterparty, weil das Bauamt niemals

für diesen Zweck eine Genehmigung er-

teilt. Ich versichere zum x-ten Mal, das wir

selber mit Hand anlegen werden, um Ti-

sche und Stühle in den Saal zu stellen. Die-

se Versicherung wird sehr ungläubig auf-

genommen. Wir haben es bewiesen: Keine

4 Stunden, sondern in 20 Minuten stand

alles und der Abbau freitags und samstags

Nacht hat auch funktioniert.

Die X-Tage sind da

Freitag morgen: Alle sind startbereit. Jeder

weiß, was zu tun ist. Alle haben von der

Verwaltung eine Kopie der Liste mit Na-

men und Telefonnummern von Hausmeis-

tern und Hallenwarten, mit denen wir auch

im Vorfeld schon größtenteils alle Details

besprochen hatten. Diese Liste ist so aktu-

ell, dass sie falsche Namen, falsche An-

sprechpartner, falsche Telefonnummern

enthält und ich zugesperrte Hallen ohne

Ansprechpartner finde. Die Verwaltung

lässt natürlich freitags mittags um 12.30 h

das Wochenende beginnen. Putzfrauen, die

auf einmal ihren Ehrgeiz darein setzen

wollen, nur Böden zu übergeben, von de-

nen man eventuell essen könnte. Unser

Zeit- und Organisationsplan ist nur noch

Müll. Aus dem halben Tag werden nur

noch 2 maximal 3 Stunden. Es gilt zu im-

provisieren. Der Raum, wo die Bühnen-

elemente lagern, ist zeitweilig von den

Putzteufeln zugesperrt, für jeden Schlüssel,

für jede Stromversorgung ist jemand an-

ders zuständig. Wir geraten in die langjäh-

rigen Grabenkriege von Hausmeistern, die

es genießen, weitere Kämpfe auf unserem

Rücken auszutragen. „So viel Wind für ein

paar „Hüpfer“ – „Bin ich denn Euer

key, for each power connection somebody

else was responsible. We were right in the

middle of a war between caretakers. They

seemed to enjoy this battle tremendously.

“Such a lot of fuss for a few “hoppers” –

“I am not your servant” – I cannot give

you this key because the other caretaker

has got it” – “for this ventilation system

Mr. Y is responsible.” How did this won-

derful official statement go: “You can

count on us and we will give you support

in everything.” We worked like slaves. The

next surprise came soon. The TV people

turned up and of course they also required

our attention and assistance. I really appre-

ciated that the EAASDC provided such a

very good website about our activities.

Some quickly arranged print-outs of info

material kept the reporters busy for start-

ers. Soon it became apparent that it would

be a live report featuring the festival. The

problem with this live report was quickly

discovered. They wanted to broadcast be-

fore 18.00 hrs but our dance start was

scheduled for 18.00 hrs. Thorsten Geppert

who was taking over for Jeannette Stäuble,

who could not come for health reasons,

was not there yet. Hectic phone calls to the

hotel ensued in order to find out who was

able to come for a very early start. Half

past five and still no certainty about who

would be on stage. At last at 17.45 h there

is salvation in the form of Al Stevens, Ja-

son Dean and Thorsten Geppert showing

up. Ok – now with these 3 callers together

on stage nothing could go wrong any

more. A short recording is also possible

from the Medio. For other dance halls

there is no time left. A pity but it couldn't

be helped. Lack of time is also the reason

that the Contra hall is equipped too late

with a PA set.

Speaking of the Medio: Friday evening a

very tall person manages to break a smoke

Laufbursche?!“ – „Den Schlüssel kann ich

Ihnen nicht geben, das muss der Kollege

machen!“ – „Für diese Lüftungsanlage ist

der Herr Dingenskirchen zuständig, der ist

aber nicht da!“. Wie war doch dieser im-

mer wieder wohltönende Satz aus offiziel-

len Mündern: Sie können sich voll auf die

Unterstützung von offizieller Seite verlas-

sen. Wir fühlen uns verlassen. Wir schuf-

ten wie die Wilden, dann kommt der

nächste Alarm. Das Fernsehen ist da, zwar

schon am Vortage angekündigt, aber nicht

eindeutig für freitags nachmittags. Klar,

dass auch diese Leute Information und

Unterstützung einforderten. Zum Glück

hatte ich von der hervorragenden Home-

page unseres EAASDC einige wesentli-

chen Informationen über Square Dance

ausgedruckt, die ich jetzt einfach in die

Reporter-Hände geben konnte. Es wurde

dann schnell klar, das sie eine Live-

Reportage bringen wollten, die aber schon

vor 18.00 Uhr auf Sendung geht, unser

Programm aber erst um 18.00 Uhr startet.

Thorsten Geppert als Ersatz für die er-

krankte Jeannette Stäuble ist noch nicht da.

Hektische Anrufe ins Hotel, wer von den

Callern könnte einspringen. Es ist schon

17.30 h und ich habe noch keine Ahnung,

wer kommen könnte. Viertel vor Sechs

und die Erlösung kommt in Gestalt von Al

Stevens, Jason Dean und auch Thorsten

Geppert. Ok - von mir aus können die

Fernsehleute so viel live senden, wie sie

wollen. Mit den Dreien auf der Bühne

kann nichts mehr schief gehen. Ein kurzer

Mitschnitt aus dem Medio ist auch noch

möglich, für andere Tanzarten gibt es nicht

genügend Sendezeit. Schade. Zeitmangel

ist auch die Ursache für den zu späten

Aufbau der Anlage in der Contra-Halle.

Apropos Medio: Freitags abend schafft es

ein groß gewachsener Mensch mit einem

leichten Schulterdruck die Rauchalarman-

detector mounted on a wall by leaning on

it with his shoulder. 4 large skylights open

due to a chain of events set in motion by

this. We should count ourselves lucky that

no rain came down otherwise all the A-

level dancers could have danced “dive

through” until they drowned. The stage

technician managed to close them again

rather ingeniously. Nevertheless it was

rather doubtful that we could continue

using this hall for safety reasons. Saturday I

signed together with 4 other fearless per-

sons that we were solely responsible in the

case of fire. A signature which would keep

us locked away from dancing for many

years if anything should have happened. A

quick introduction into fire precaution

rules and how to use walkie-talkies. We

could keep the hall as well as the weather

kept up being sunny. We seemed to have a

better link to the weather gods than the

Pope. In bright sunshine the festival finally

took place outside and it was amazing to

see how many dancers were still keen on

dancing after 3 consecutive days.

Review

A lot of things turned out differently than

originally planned such as the catering,

decorations, and direction signs, but

somehow everything went quite well. The

crowd of gypsy kids for whom we had to

call the police, both for their safety and for

the safety of our belongings, is as much

forgotten now as the tidying and cleaning

up afterwards. The fact that parking fees

were invented in Bergheim starting on 1st

of Sept and only our intervention pre-

vented anyone from getting a parking

ticket. The very friendly character who was

nice enough to scatter loads of nails on

the ground to show us how nice a tyre can

look after driving over them and many

other unpleasant things are now a thing of

Dach gehen daraufhin auf. Wie gut, das es

nicht regnet, sonst könnten alle A-Level

Tänzer DIVE THRU bis zum Ertrinken

tanzen. Dem Bühnenmeister gelingt es in

einem unkonventionellen Einsatz die Lu-

ken wieder zu schließen. Aber es wird frag-

lich, ob wir die Halle aus Sicherheitsgrün-

den weiter nutzen dürfen. Samstag setze

ich mit noch vier weiteren Unerschrocke-

nen meine Unterschrift auf ein Papier, das

uns im Katastrophenfall wohl für viele

Jahre vom Tanzen abhalten wird. Eine

Schnelleinweisung für den Brandfall und

die Bedienung der Walkie Talkies folgt.

Der Saal bleibt uns erhalten. Das gute We t-

ter ebenfalls. Wir haben wohl doch einen

besseren Draht zum Wettergott als der

Papst. Bei strahlendem Sonnenschein en-

det mit einem Open-Air Tanz, zu dem sich

noch einmal viele unermüdliche Tänzer

einfinden und anscheinend immer noch

nicht genug haben, diese Geburtstagsfeier.

Rückblick

Vieles ist anders geworden als geplant -

Catering, Deko, Ausschilderung – aber es

hat trotzdem geklappt. Vergessen ist die

Schar Zigeunerkinder, die zu ihrer und un-

serer Sicherheit von der Polizei zu den El-

tern gebracht wurden. Die Tatsache, dass

am 1. September Parken in Bergheim kos-

tenpflichtig wurde und nur aufgrund unse-

rer eindringlichen Intervention keine

Knöllchen verteilt wurden. Die Aufräum-

und Putzarbeiten, die Tatsache, dass ein

freundlicher Mensch jede Menge Dach-

nägel für uns verstreut hatte, damit man

weiß, wie ein kaputter Reifen aussieht und

so manche andere unerfreuliche Begeben-

heit. Wir haben viele sehr freundliche

Kommentare und ein mehrheitlich positi-

ves Feedback bekommen. Sicherlich ist

auch Kritik berechtigt, aber in Anbetracht

the past. It looks like the majority of

guests enjoyed the festival as we got a

really good amount of positive feedback .

Of course there is also reason for a justi-

fied complaint. But under these circum-

stances it was the best we could do and

there really was no way to do better than

we did.

In the end we just want to say: THANKS

A LOT to all the dancers who came to

Bergheim because without all of you it

would not have been such an event.
